Job Description

The Cerity Partners Family Office is seeking a highly organized and detail-oriented Trust & Estate Operations Associate to join our Estate Planning Group.  In this role, you will manage project workflows, review legal documents, and prepare client-facing materials.  The ideal candidate is eager to learn, thrives in a fast-paced environment, and brings a proactive, problem-solving mindset to all aspects of their work.

Primary Responsibilities:

Project & Workflow Management

  • Track open items across client teams, ensuring timely follow-up and completion

  • Maintain task and deadline tracking in Salesforce and coordinate across departments

  • Manage calendars, meetings, and deliverables for the Estate Planning Group

Legal Support & Documentation

  • Review and summarize estate planning documents, including wills, trusts, and entity agreements

  • Build estate flowcharts to visualize document structures and asset distribution

  • Assist with the preparation of legal documents and the formation of legal entities (LLCs, trusts, etc.)

  • Organize, file, and maintain legal documents and records in a structured and accessible format

Client Presentation & Communication Support

  • Prepare presentations and analyses for client meetings

  • Draft summaries and visual aids that clearly explain complex estate structures

  • Support internal communications across legal, operations, and client teams

Required Qualifications:

Skills & Attributes:

  • Meticulous attention to detail with strong organizational and multitasking skills

  • Able to manage multiple priorities and follow through on deliverables

  • Strong written and verbal communication skills in a professional setting

  • Proactive, eager to learn, and an ownership mentality

  • Team-oriented and dedicated to upholding the highest standards of confidentiality

  • Sharp analytical skills, with the ability to summarize and organize complex information

Technical Proficiency:

  • Proficiency in Microsoft Office, particularly Excel and PowerPoint

  • Experience using Salesforce (or similar CRM/project management system)

  • Comfortable working with legal documents and structured data

Experience & Education:

  • 1-3 years of experience in legal operations, project coordination, or an administrative role (experience in legal, estate planning, or financial services preferred)

  • Paralegal experience or coursework a plus

  • Bachelor’s degree required

  • Notary Public or willingness to become one is a plus

Compensation Range: 

$60,000-$75,000
