Winthrop & Weinstine See More Job Openings by This EmployerWinthrop & Weinstine is seeking a knowledgeable and driven Legal Administrative Assistant to work in our Regulatory and Health Law Practice Area - someone with strong attention to detail who can prioritize the workload for busy attorneys. The responsibilities for this position will include, but are not limited to, the following:
ESSENTIAL JOB FUNCTIONS (Including, but not limited to):
Provide general legal administrative support, including calendar management, scheduling and arranging attorney and client meetings, conferences and depositions, responding to and handling routine correspondence and making reservations/appointments.
Coordinate travel arrangements (e.g. accommodations, transportation, and shipment of any needed materials) and report expenses.
Provide quality, responsive customer service to clients, attorneys, and co-workers.
Review, organize, sort and distribute daily mail on numerous client matters.
Review and finalize client billings, in appropriate.
Maintain electronic client files, including electronic pleadings and indices, as well as original pleadings and client documents.
Provide quality, responsive customer service to clients and co-workers.
Provide docketing/calendaring support.
Prepare and edit legal correspondence and documents, and basic document manipulation.
Review, edit and finalize attorney and paralegal time entries and manage client invoices.
Process conflict checks, engagement agreements, and initiate new client intake promptly and accurately.
Track and organize receipt and expense submissions.
Monitor and maintain attorney professional memberships, CLE reporting, and license renewals.
Electronically file litigation pleadings and other documents with state, federal and appellate courts, both locally and nationally.
Handle docketing of court scheduling orders, briefing schedules and other court mandated conferences, dates, and other litigation requirements.
COMPETENCIES (KNOWLEDGE, SKILLS AND ABILITIES):
Knowledge of practice area and familiarity with legal terminology and procedures.
Strong knowledge of grammar, proofing and basic administrative skills.
Strong word processing skills, including efficient use of Microsoft Styles.
Proficient transcription skills from digital dictation.
Ability to keyboard 75 words per minute accurately.
Ability to proficiently produce documents with firm templates.
Proficient basic Excel skills to enter and manipulate data and insertion and use of simple formulas.
Strong organizational skills.
Ability to effectively handle multiple tasks and frequent interruptions.
Ability to effectively interact with all levels of staff and outside contacts.
Ability to organize and prioritize work and follow assignments through to completion.
Strong written and verbal communication skills.
Ability to handle a large volume of detailed work with accuracy.
Ability to work well under pressure with deadlines.
Ability to effectively work within a team environment.
Prepare correspondence, documents, and agreements, including document comparisons and conversions, manipulation of pdf documents, proofreading, formatting, editing, and scanning.
Job duties may require time over 37.50 hours per week.
