This Role will be hybrid based from our Calabasas office and will be temporary with an opportunity for conversion after 90 days based on performance.
Yamaha Guitar Group is seeking a highly organized and detail-oriented Legal Administrative Assistant to support the legal affairs of the Company. Reporting to the General Counsel, this role is pivotal in providing administrative support and ensuring the smooth operation of the legal department. The ideal candidate will possess strong administrative skills, a proactive attitude, and the ability to work in a fast-paced, friendly environment while maintaining confidentiality and professionalism.
Duties/ Responsibilities:
- Manage the process of sending out contract templates, gathering comments, redlining, proofing and procuring execution copies for a high-volume of sales, marketing and other contracts;
- Prepare, proofread, and edit legal documents, contracts, and correspondence as needed;
- Maintain organized filing systems, both physical and electronic, for all legal documents;
- Fill out and manage various insurance applications and policy renewals;
- Organize corporate files (board minutes, resolutions, articles of incorporation, subsidiaries);
- Interface with outside trademark counsel to manage trademark portfolio updates, and send out cease and desist letters;
- Assist with setting up compliance trainings and procuring employee compliance certification documentation;
- Manage calendars, schedule meetings, and coordinate appointments; and
- Additional day to day legal admin responsibilities as requested.
What you Bring to the table
Required Skills / Abilities:
- Candidate must be well-versed in the use of the Adobe Sign contract management system, as well as proficient in Outlook, Excel, redlining Word Docs, making PowerPoint presentations, creating Google Docs and innovating shortcuts for other document-heavy platforms;
- Must have good overall computer literacy in order to effectively assist in the completion of internal and external documents for various hardcopy and/or electronic filings;
- Experience with drafting simple amendments a plus;
- Ability to read and comprehend legal and corporate documents, write routine correspondence and reports, and interpret and solve problems with limited daily direction.
- Familiarity with legal terminology and document management systems.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Time management skills with the ability to prioritize and meet deadlines.
- A proactive and problem-solving mindset with the ability to work independently.
Education and Experience:
- Minimum of a high school diploma; Associates or Bachelor's degree is preferred in a related field.
- Legal Admin experience with an in-house legal department (or law firm) preferred
