Job Description

Position Description

This position is to assist the Probation Department with both juvenile and adult court documents and files, and to do related duties as assigned.

Under general direction, to assist attorneys in researching documents and records regarding a variety of legal matters, to assist in the preparation of documents required for criminal litigation; to do related duties as assigned.
 
DISTINGUISHING CHARACTERISTICS:
 
This is considered a paraprofessional classification and the incumbent is expected to possess specialized expertise in a variety of technical areas related to the legal system.

Example of Duties

  • Prepares a variety of legal documents under the direction of staff attorneys.
  • Prepares pleadings, including those related to criminal litigation, complaints, motions, information, ensuring completeness, accuracy and conformance with standard procedures.
  • Sets up, maintains and monitors criminal files, preparing necessary correspondence, memoranda and forms as required, prepares individual case folders.
  • Maintains case files.
  • Maintains control of flow of documents and calendars for court appearances.
  • Types and composes correspondence and a variety of legal documents and reports.
  • Sets up and maintains departmental records, reviews material and correspondence and routes to proper attorney for review.
  • Orders office supplies, determines the status of cases and relates this information to interested parties upon request.
  • Fields questions and comments from the public, assists victims and witnesses with status of cases, provides educational information related to court system to the public.
  • Maintains trust funds for department, collects and disburses restitution payments.
  • Maintains departmental cost records.
  • Assists in the preparation of departmental budget and assist in maintaining of financial control accounts.
  • Handles and maintains the confidentiality of records and files.

Minimum Qualifications

Knowledge of:
 
The operations and procedures of legal offices; legal terminology, phraseology, documents and procedures common to clerical work in a legal setting; business English, including vocabulary, correct grammatical usage and punctuation; modern filing methods, general knowledge of criminal court procedures.
 
Ability to:
 
Do general work involving the use of legal terminology in preparation of a variety of common legal documents; make decisions in procedural matters without immediate supervision; prepare and maintain accurate, complete case files; interpret and explain laws, court procedures, and office policies; deal tactfully and courteously with the public; be computer literate; be familiar with word processing, database, and spreadsheet programs; operate a 10-key adding machine with accuracy and speed.

Education, Training, and Experience:

Equivalent to graduation from high school and five years of legal clerical experience in a legal or courtroom setting. Successful completion of a formal training program leading to a certificate as a legal secretary or equivalent may be substituted for up to one year of the required experience.

Special Requirements

May require a valid California Driver's License.
