Job Description

SUMMARY
Harcros Chemicals Inc. is an employee-owned company with a long history in chemical manufacturing and distribution.  We currently have 2 manufacturing plants and 27 distribution facilities in 20 states.  As we continue to grow, we are looking for a Paralegal to support the Risk Management Department and other departments as needed to assist our corporate functions, sales, marketing and the distribution and manufacturing facilities.  This position will report to the In-House Counsel and will be a key member of the team supporting the legal and compliance function.  The Paralegal will assist in managing litigation and claims, coordinating contracts and legal documentation, and supporting legal compliance.  This role will also take primary responsibility for a range of administrative legal functions, including IP tracking, document retention, email archive searches, legal invoice and expense tracking, and contract intake coordination. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist in the management of legal matters, including coordinating and managing outside counsel for litigation, environmental matters, subpoenas, property transactions and claims resolution.
  • Coordinate document production and responses to discovery requests and legal holds.
  • Support responses to government inquiries and enforcement proceedings.
  • Assist with contract management, including intake and initial review of service and purchase orders, customer and supplier agreements, leases, confidentiality agreements, purchase and sale terms and any other legal documents or special projects.
  • Collaborate with internal stakeholders to gather additional information and context for legal document review.
  • Conduct email archive searches and coordinate document gathering in support of discovery of fact-finding efforts. 
  • Support insurance-related matters, including annual renewals, claims tracking, and case status updates with carriers.
  • Track and maintain legal matters in monthly status reports; draft and manage Legal Hold Notices.
  • Maintain legal-related spreadsheets, including outside counsel billing and matter expenses.
  • Assist with IP management processes (e.g., trademark renewals, internal tracking).
  • Coordinate and maintain company record retention and legal document storage practices. 
  • Review and assist with company policies and codes of conduct as needed.
  • Work with various departments to ensure appropriate recordkeeping and compliance with document retention schedules. 
  • Manage intake and tracking of service or process and initial legal notices.
  • Ability to work well under pressure, multi-task efficiently and be an independent thinker.
  • Provide exceptional internal and external service with professionalism and strong communication. 
  • Maintain high organizational standards and assist with special legal projects as needed.
  • Ability to perform effectively with little or no supervision and within established time limits and on-going deadlines.
  • Employee may perform other related duties as required by the organization.
  • Occasional travel may be required up to approximately 15%
 
 
EDUCATION and/or EXPERIENCE
  • Associate’s degree or equivalent required; bachelor’s degree preferred. 
  • Paralegal certificate is strongly preferred.
  • 5-7 years of paralegal or legal assistant experience in corporate, litigation, or regulatory environments.
SKILLS AND ABILITIES:
  • Strong working knowledge of Microsoft Office (especially Excel, Word, and Outlook) and Adobe Acrobat.
  • Excellent written and verbal communication skills.
  • High attention to detail, organizational skills, and ability to manage multiple tasks and deadlines.
  • Ability to work independently, exercise good judgment, and maintain confidentiality.
  • Comfortable collaborating across functions and communicating with all levels of the organization.

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
 
MATHEMATICAL SKILLS
Ability to apply advanced mathematical concepts necessary for engineering design and evaluation such as exponents, logarithms, quadratic equations, and permutations.  Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factor analysis.
 
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
 
OTHER SKILLS AND ABILITIES
  • Ability to use a personal computer with exceptional working knowledge of Microsoft Office Suite especially word processing, spread sheet software and Adobe Acrobat Software.
  • Exceptional written and oral communication skills.
  • Be able to work with a variety of backgrounds and skill levels.
