Position Overview
The Site Leader supervises the daily operations of a 1 to 3-person legal office site, ensuring efficiency, compliance, and high-quality service. Reporting to the Account Manager, this role involves employee development, operational oversight, and client interaction. The Site Leader must possess strong interpersonal and customer service skills to effectively communicate with senior attorneys, partners, clients, opposing counsel, court reporters, and vendors.
Key responsibilities include workflow management, financial oversight, legal document handling, and service improvement while maintaining profitability and exploring additional offerings to enhance client operations.
Key Responsibilities
Legal Office Operations
- Manage chargebacks for work, supplies, and billable hours.
- Utilize legal software and document management systems (e.g., Copitrak, Equitrac).
- Oversee legal records management and document processing.
- Handle essential legal materials such as closing binders, depositions, transcripts, briefs, filings, and discovery items.
- Coordinate equipment, labor, and supplies for offsite trials.
Leadership & Client Relations
- Act as the primary contact for client issues and resolution.
- Train and mentor staff, ensuring workflow efficiency.
- Maintain a high level of confidentiality when handling sensitive legal documents.
- Ensure compliance with law firm hierarchy and provide professional support to attorneys, paralegals, and legal secretaries.
- Guarantee accuracy and timeliness in project execution, often under tight deadlines.
Operational & Financial Management
- Implement RICOH Service Excellence methodology for quality assurance.
- Supervise workflow to ensure profitability and cost control.
- Oversee payroll, timekeeping accuracy, and staffing schedules.
- Monitor service efficiency, quality, and deadline adherence.
- Prepare and review monthly financial reports and invoices.
Administrative & Technical Support
- Assist with conference room scheduling, receptionist duties, mail services, inventory control, and facility support.
- Operate advanced office technology and equipment.
- Provide training sessions on workflow and machine operations.
Qualifications
- High school diploma or GED required; 2+ years of legal industry experience preferred.
- Familiarity with various legal specialties (e.g., criminal, civil, corporate, bankruptcy, intellectual property).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and legal software.
- Experience delivering training sessions is a plus.
- Strong organizational, technical, and leadership skills.
Working Conditions & Physical Requirements
- Office environment with adequate lighting, temperature, and noise control.
- Requires walking, standing, bending, reaching, and lifting up to 50 lbs.
- Moderate dexterity for handling office tools and equipment.
