What is the role of the Legal Assistant?

The Legal Assistant will play a crucial role in managing the administrative aspects of a busy litigation caseload, ensuring efficiency and accuracy. This position requires excellent organizational skills, a strong understanding of legal processes, and the ability to work independently as well as part of a team. The ideal candidate will be proactive, resourceful, and dedicated to supporting our attorneys in their defense of automobile liability and UM/UIM matters.

 

What will you do?

Case Management & Organization:

  • Maintain and organize electronic and physical case files, including pleadings, discovery, correspondence, and medical records.
  • Monitor and manage litigation calendars, tracking deadlines for discovery, motions, hearings, and trials.
  • Open new litigation files, ensuring all necessary parties are properly documented.
  • Assist with closing out resolved cases and archiving files.

Document Preparation & Filing:

  • Draft, format, and proofread legal documents, including correspondence, pleadings, discovery requests/responses, subpoenas, and motions, under attorney supervision.
  • Prepare exhibits for depositions, mediations, arbitrations, and trials.
  • Coordinate and facilitate e-filing of documents in various state and federal court systems.
  • Ensure all documents comply with court rules and attorney instructions.

Discovery Support:

  • Assist attorneys in preparing for depositions, including organizing exhibits, preparing witness binders, and coordinating logistics.
  • Manage the production and receipt of medical records and other pertinent documents.
  • Help prepare and assemble discovery responses, ensuring all relevant information is included and organized.

Communication & Coordination:

  • Schedule depositions, mediations, arbitrations, court hearings, and meetings with clients, opposing counsel, experts, and vendors.
  • Serve as a primary point of contact for external parties regarding scheduling and document exchange.
  • Communicate effectively with adjusters and claims professionals to gather necessary information and provide case updates.
  • Manage incoming and outgoing mail, faxes, and electronic communications.

Research & Administrative Support:

  • Conduct basic legal research as directed by attorneys.
  • Prepare expense reports and process invoices related to litigation matters.
  • Arrange travel logistics for attorneys when required.
  • Perform other administrative duties as assigned to support the legal team.

What do you need? 

  • Associate's degree or certificate in Paralegal Studies strongly preferred; Bachelor's degree a plus.
  • Minimum of 3-5 years of experience as a Legal Assistant or Paralegal in a litigation setting, preferably in insurance defense or personal injury.
  • Experience assisting attorneys in GA and/or TX is a plus.
  • hProficiency in e-filing procedures for state and federal courts.
  • Strong knowledge of legal terminology, court procedures, and legal document formatting.
  • Exceptional organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines in a fast-paced environment.
  • Proactive, self-motivated, and able to work effectively with minimal supervision.
  • High level of professionalism and discretion in handling confidential information.

Base Compensation Range:

$60,000 - $80,000 (USD) annually
