Job Description

Greenberg Traurig (GT), a global law firm, has an exciting full-time employment opportunity for a Corporate Legal Support Specialist in our Los Angeles office. We offer competitive compensation and an excellent benefits package.

Position Summary:

The Legal Support Specialist (LSS) will support three or more attorneys, including the Co-Chair of the Global Corporate Practice, in an executive assistant/secretarial capacity.  Provides a wide range of administrative, clerical and document processing services in Corporate and other transactional practice departments. This is a hybrid position with three days in-office and two days at home.  Flexibility to work overtime as needed. 

Duties & Responsibilities:

  • Manages phone lines for supported attorneys, fielding calls, scheduling and initiating conference calls and conveying messages as necessary.  Communicate with clients, opposing counsel, courts, and liaisons.
  • Processes time entry, opens new matters, drafts engagement letters and audits responses
  • Makes reservations, processes reimbursement expenses, maintains calendar, collates information and other administrative duties, as needed by the department
  • Conducts research
  • Maintains legal files (both paper & electronic), organize and file documents in designated order, as well as prepare, keyboard, enter, proofread and process legal and administrative correspondence.
  • Manages document deliveries and tracks final executed documentation
  • Collaborates with team members, providing assistance when time permits

Skills & Competencies:

  • Familiarity with the practice of Corporate law is a plus.
  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies. 
  • Strong ability to maintain high standards of professionalism, including the ability to maintain confidentiality (both client and internal), use good judgment and anticipate needs of attorneys with high volume practices.
  • Strong attention to detail, organizational skills and ability to manage time effectively. 
  • Positive attitude, excellent interpersonal skills, communication skills and the ability to collaborate well as a team.
  • Position requires ability to move from the workstation or desk several times throughout the day and go to various offices to retrieve documents and meet with attorneys and receive instructions.
  • Position also requires the ability to work under pressure to meet strict deadlines.

Qualifications & Prior Experience: 

  • Bachelor’s Degree or equivalent experience is preferred
  • Minimum 7 years of experience, working in a business law practice with exposure to entertainment law  
  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies and experience with e-filing
  • Exceptional computer skills with the ability to learn new software applications quickly
  • Knowledge of DocuSign and Concur preferred

The expected pay range for this position is:

$90,000 - $110,000 per year

Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.  Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.  Additional voluntary programs include:  voluntary accident insurance, voluntary life, voluntary disability, voluntary long term care, voluntary critical illness and cancer insurance and pet insurance.  Commuter and Transit programs may also be available in certain markets.
