The Sr. Analyst, Legal Operations is responsible for executing on our goal to drive efficient law firm and vendor management to reduce legal spend, while improving quality, value and forecasting of legal spend. Your primary roles will be to provide operational support to the Legal team and their law firms globally and to manage, and act as the liaison, between the Legal team, Finance and law firms on budgeting, forecasting and billing matters. You will also be responsible for driving improvements in e-billing and budgeting and forecasting processes. You will work closely with the Legal team leadership, building a strong, professional relationship and support them on law firm and third-party vendor pricing negotiations, reports and metrics. You will be an active member and contributor to the Operations team, and support other Operations’ team members on other projects, where necessary.

 

Primary Responsibilities:

  • Recommend and implement initiatives to assist in strategic selection and ongoing evaluation of outside counsel and legal vendors, including developing performance assessment tools, and benchmarking performance, rates and other engagement terms.
  • Manage logistics and analysis for outside counsel and legal vendor RFPs, as requested
  • Offer analysis and recommendations in respect to alternative fee structures and standardized billing systems. 
  • Help develop, implement and improve Legal Department financial and administrative business processes and procedures for internal efficiencies, cost containment and performance to goals/objectives.  Help identify spending trends, potential cost savings and efficiency opportunities. Supervise and guide legal billing, including rate approvals, invoice review, and payment.
  • Support Legal Department knowledge management, working with legal professionals to develop and maintain database including standard forms, and internal memoranda on substantive practice issues and Legal Department process.
  • Serve as liaison with Information Technology and recommend/manage implementation and integration of technology solutions, particularly as they apply to legal research, knowledge management, billing and outside counsel/legal vendor management. Assess effectiveness of existing technology systems and future technology needs for the Legal function.  Coordinate and manage relationship with IT.
  • Coordinate and support legal records management activities including, but not limited to, serving as a records custodian as needed by maintaining accurate and organized records, ensuring proper retention and secure storage of legal documents in accordance with internal policies and legal requirements.
  • Develop/manage department onboarding process; coordinating/improving continuing education and other training and development programs; helping to plan departmental presentations, meetings and events; managing facilities and equipment requirements and special projects as needed,

 

 

Education and Experience:

  • Level of Formal Education: Bachelor's degree or equivalent experience
  • Area of Study: Business major or paralegal certification
  • Years of Experience: Minimum 3-5 years of experience in related field
  • Type of Experience: Project Management, Financial Analysis, Records
  • Special Certifications: Six Sigma
  • Technical Competencies & Information Systems:             
    • Technological aptitude and ability to learn new technologies or systems; experience with knowledge management and legal e-billing systems preferred.
    • Proficient in MS Office Suite of products, particularly Excel
    • Oracle MyCloud
    • Legal Tracker
    • CorpPlan
    • AI
  • Skills & Abilities:
    • Proven leadership, teamwork, and collaboration in professional setting; inclusive approach and respect for all levels of employees.  
    • Understands legal and law firm financials, metrics and analytics.  
    • Management, prioritization, planning and organizational skills are required.  
    • An understanding of basic principles of finance, project management, and process design, with excellent analytical capabilities to support financial planning and budget management are also required.
