The legal assistant performs a variety of tasks to assist clients with their estate and long-term care planning and also delivers high-quality services to staff and clients, while exhibiting commitment to integrity and excellence. The position requires thorough knowledge of all firm processes and procedures. This scope of responsibilities includes prioritizing, managing and following through on multiple tasks, and communicating effectively, courteously and professional with clients and staff members.
Essential Duties and Responsibilities
Gather information and compile client information and assets into a Client Information and Asset List.
Assist with trust funding by completing change forms, corresponding with professionals and companies, ensuring changes are made, and follow up with clients as needed.
Attend appointments with the attorneys and interact with clients and referral sources serving as witness and/or notary during signing appointments.
Prepare and proofread correspondence.
Answer phone calls, direct caller to appropriate staff member and/or e-mail appropriate staff member a message related to the call.
Record documents at the county courthouse as well as at the Department of State, IRS, the Office of Veteran’s Affairs, and the Department of Public Welfare.
Perform general operational tasks including but not limited to copying, scanning, mailings and postage, assisting drop-in clients, filing paperwork, handling voice mail messages, etc., all according to Firm policies and procedures.
Draft and proofread legal documents and forms for accuracy and consistency, including but not limited to wills, POAs, trusts, deeds, and other documents necessary in the assigned area of law.
Provide secondary support to sort and log all incoming mail, faxes, and courier deliveries for distribution.
Order tax assessment cards and title searches for clients’ real estate.
Work to make client satisfaction a top priority, finding quick resolutions to client complaints and concerns.
Maintain confidentiality of client and personnel information in accordance with Steinbacher, Goodall & Yurchak confidentiality policies and procedures.
