Essential Duties and Responsibilities:
In this role, the primary responsibility would be to provide essential support to Pre-Hearing Case Managers within the Social Security Department (SSD) with their client caseloads. This job involves working in a fast-paced environment, focusing on administrative tasks, client assistance, and case coordination.
The Pre-Hearings Case Management Support Specialist is expected to:
- Provide administrative support to the Pre-Hearing Case Managers within the SSD Department which includes:
- Scanning and organizing incoming mail and uploading it to the appropriate Case Managers File
- Assisting walk-in clients with inquires
- Coordinating client appointments, as needed
- Contacting Social Security Administration (SSA) & The Disability Determine Services (DDS) office, as needed.
- Following up with clients on paperwork deadlines
- Ensuring client files/records are accurate and up-to-date adhering to organizational and regulatory standards.
· Utilize a low level of discretion and independent judgment when prioritizing requests/tasks received from the Pre-Hearing Case Managers and/or Department Manager.
· Ability to multi-task in a team, while maintaining detailed and accurate case files, including client records, correspondence, and case-related documentation.
· Ensure all client information is confidentially managed and comply with relevant data protection and privacy regulations.
· Adherence to all legal and ethical standards, including SSA regulations, professional codes of conduct, and client confidentiality.
In addition, with other duties that may be assigned.
Education and/or Work Experience Requirements:
· Excellent customer service and ability to show empathy.
· Ability to de-escalate and resolve clients’ concerns.
· Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
· Excellent verbal and written communication skills, with the ability to communicate professionally and confidently with employees at all levels.
· Proficiency in basic computer knowledge and usage
· Attention to detail and accuracy in data entry and record-keeping.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Strong problem-solving skills and the ability to work both independently and collaboratively in a team environment.
High school diploma or equivalent (SSA, SSD, or SSDI experience preferred).
Physical Requirements:
• Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
• Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
• Must be able to lift and carry up to 25 lbs.
• Must be able to talk, listen and speak clearly on telephone.
