Trust & Estates Legal Administrative Assistant
FLSA Status: Non-Exempt
Reports To: Office Manager
Jackson Walker, Texas' largest law firm, has an exciting full-time employment opportunity for a Legal Administrative Assistance to the Trust & Estates Practice Group (PG) in our Austin office. This role provides strong administrative support to attorneys whose work focuses upon the areas below
- Establishing the formal structures and educating family members on how to satisfy their family goals, including securing the family wealth for themselves and future generations and adhering to their charitable desires.
- Estate planning and the administration of estates and trusts, with a particular emphasis on complex federal tax issues and the preservation of wealth through efficient transfer techniques.
- Wealth preservation strategies and estate plans that minimize their estate, gift and income tax exposure, maintain family harmony, and optimize charitable desires.
Specific duties of this position include, but are not limited to:
- Providing timely and courteous communication to clients and attorney(s) when answering phone calls and relaying messages
- Assisting with accurate timesheet entry, review and revision; participate in timely billing review and submission
- Calendar management coordinating and scheduling travel, meetings, and appointments for attorneys
- Manage hard copy documents and profile electronic documents/e-mails
- Distribution of correspondence and legal documents
- Perform other work-related duties as assigned
- Must be highly organized and able to manage multiple concurrent projects
- Comfortable communicating with clients in a professional manner
- Excellent knowledge of Microsoft 365, especially Word and Outlook
- Working knowledge of legal documents, formatting, table of contents, styles, track changes, pdf documents inserting and labeling, converting pdf documents to Word
- Experience working with a document management system (iManage experience a plus)
- Good grammatical and writing skills
- Ability to multi-task and work closely with attorneys in a fast-paced busy role
- Demonstrate the ability to think critically and show initiative
- Ability to handle confidential documents and information appropriately
Education:
- Bachelor's degree from an accredited college or university preferred
- High school diploma or GED required
Years of Experience:
- Minimum of 3 years' experience
- Prior law firm experience preferred
Working Conditions:
- Normal office environment with little exposure to excessive noise and temperature.
