Description
All duties and responsibilities are to be performed in accordance with VITAS Healthcare Corporation’s policies, procedures, guidelines, contractual commitments and governmental regulations.
• Provides confidential diversified administrative support to the General Counsel, and attorney staff, including duties such as answering and returning telephone calls, sorting and distributing mail, copier projects, mailing, faxes or arranging for the delivery of documents and other materials, and composing routine correspondence for signature.
• Performs a wide variety of typing assignments that may be confidential in nature. Uses software applications to compose, edit, revise, tabulate and print letters, tables, reports and other materials.
• Prepares documents and correspondence requiring knowledge of legal terminology and document formats such as contracts, briefs, summonses, complaints and motions.
• Transcribes dictation involving legal terminology.
• Schedules and coordinates meetings and conferences, which may include travel and lodging arrangements; schedules appointments, maintains calendar, and performs other duties for the General Counsel and attorney staff.
• Arranges teleconferences as necessary
• Establishes, maintains, and processes files, correspondence, databases, governing body materials and/or other documents.
• Performs some bookkeeping functions relative to the establishments of databases for payment of outside legal fees. Prepares and processes check requests.
• Acts as a liaison with outside counsel, members of the Board of Directors, and the hospice programs on behalf of the department.
• Provides general office support to the department, including ordering of office supplies and coordinating maintenance of computers, telephones and other administrative equipment.
• Phone calls with hospice program staff to triage and intake legal matters, including requesting and gathering pertinent information related to such matters.
• Perform basic legal research.
• Review and revise applications, contracts and other legal documents for accuracy.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Experience:
• Minimum five years’ experience as a legal secretary or legal assistant.
• Skill in the use of personal computers and related software applications including database management
• Knowledge of legal documentation procedures and requirements and ability to compose written communication
• Dictation and/or stenographic skills
• Ability to work on various assignments simultaneously.
• Ability to communicate tactfully, verbally and in writing with department heads, managers, coworkers and vendors to resolve problems and negotiate resolutions
• Working knowledge of computers, internet access, and the ability to navigate within an automated system as well as a variety of software packages such as Outlook, Excel and Word.
• Basic knowledge of LEXIS or WESTLAW legal research databases.
Education:
Completion of high school or basic education equivalency required. Associate or bachelor’s degree preferred.
