Wilson Sonsini has an immediate opening for an Executive Assistant to join our Patents & Innovations group for our Boulder office. The ideal candidate will be able to perform specialized and administrative duties for their attorneys (including partners), patent agents, practice area, clients, and the firm, ensuring client services and satisfaction are attained in all areas.
This position is available as a hybrid work schedule.
Responsibilities:
- Schedule meetings and calls internally and with clients
- Manage multiple Outlook calendars
- Communicate with clients, including senior level executives
- Open new clients in database
- Initiate new business and conflicts searches with conflicts department
- Draft engagement letters, waiver letters, and disclosure letters
- Manage all aspects of audit letters
- Liaison with business development department to gather materials for new business development, create slide decks, and/or binders
- Update customer relationship management database (CRM)
- Maintain business development data
- Arrange travel with internal travel company
- Process expense reimbursements
- Enter time into time entry system
- Upload invoices to accounts payable database
- Interface with finance team (pull client invoices, etc.)
- Maintain attorneys’ memberships in bar associations and professional organizations, including MCLE credits and dues
- Manage contact information for practice group, clients, vendors, etc.
- Generate attorney patent docket reports in database (CPI)
- Take an active role in contributing to employee engagement and office culture
- Assist coordinating and attend internal employee events and office initiatives
- Additional projects as needed
Qualifications:
- 3+ years of administrative experience in a professional services environment, preferably in a law firm and/or supporting attorneys is required
- Bachelor's degree preferred, or comparable work experience
- Strong organizational skills
- Effective communication and interpersonal skills
- Strong computer skills and superior attention to detail
- Ability to work occasional overtime
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
