Job Description

Our client, a Real Estate Investment Firm located in Midtown is looking to hire a Legal Executive Assistant to provide support to their Corporate Legal Department.  The successful candidate will have administrative experience in a corporate environment, ideally out of legal, with experience liaising with boards.  This person will also have experience utilizing board portal software's (ie: Basware, Coupa, Tipaldi, etc.).  

RESPONSIBILITIES
Provide support for board of directors’ meetings for two public companies, including:
  • Serving as administrator of the board portal;
  • Assisting with scheduling and agenda preparation;
  • Coordinating materials for board and committee meetings;
  • Communicating with directors and their assistants;
  • Preparing, distributing, and tracking director and officer questionnaires, annual evaluations, and surveys;
  • Assisting with drafting and finalizing meeting minutes.
Maintain corporate books and records.
Manage department invoice processing, including coding, tracking project expenses, and supporting budgeting and accrual activities.
Coordinate execution of legal documents, both physical and via DocuSign.
Arrange travel for department staff as needed.
Perform general administrative support for the legal department, including:
  • Meeting coordination;
  • Calendar management;
  • File organization;
  • Document formatting and proofreading;
  • Expense reporting;
  • Maintaining subscriptions and departmental resources.
REQUIREMENTS
5 to 7+ years of experience
Ability to maintain confidentiality and exercise sound judgment and discretion
Microsoft Office Suite (including Word and PowerPoint) required
Board portal software, Basware (or other accounts payable software), and DocuSign experience preferred; ability to learn new electronic platforms quickly
Excellent attention to detail and process; strong organizational, interpersonal, communication and writing skills
Proactive and able to work independently on routine projects and collaborate on complex matters as necessary; team-oriented mindset and strong work ethic; ability to multitask

SALARY
$100-120K base + Paid OT + Bonus
 
HOURS
8:30/9am-5:30/6pm
**Typically 3x a week in office (usually Mon-Weds but occasionally will shift to Tues-Thurs)
