
Our client, a prestigious law firm in Austin, is seeking a skilled Legal Assistant to support a team of attorneys through high-level administrative and substantive legal work. This role plays a critical part in ensuring seamless legal operations, particularly in litigation, condemnation, and insurance defense. Key Responsibilities:- Coordinate visitors by greeting, welcoming, and directing them in a professional and courteous manner.
- Coordinate deliveries and ensure all mail and packages are distributed accordingly, including by electronic means, if required.
- Setup, maintain, and take down of conference room for scheduled meeting, depositions, etc.
- Provide facilities support, including but not limited to, adequate stock of supply room, shredding bin services, maintenance of suite, etc.
- Assist with organization and tidiness of kitchen/breakroom, supply cabinets and copying room.
- Leverage technology resources to ensure the group of attorneys is operating as efficiently and effectively as possible.
- Identify most efficient and effective manner to complete tasks.
- Prepare documents by formatting, inputting, editing, retrieving, copying, printing and transmitting text, data and graphics using office software applications.
- Prepare appellate briefs, including tables of contents and tables of authorities.
- A knowledge and appreciation of the legal processes that facilitate the accurate preparation of client documents and responding to filing or closing deadlines.
- Prepare and coordinate e-filings in state and federal courts, including tracking of file-stamped copies of e-filings
- Handle incoming and outgoing mail, faxes and scan documents.
- Ensure that documents are saved and filed into the appropriate workspaces/folders in IManage, FileSite, and paper files, as necessary.
- Maintain the daily calendar of each attorney including, but not limited to, scheduling appointments, meetings, and travel arrangements.
- Maintain Outlook contacts for each attorney as appropriate.
- Maintain updated correspondence and pleadings files and handle filing, indexing, and creating sub-files.
- Maintain a master list for each file and update the list as new files or matters are opened.
- Open files, close files and assist with conflicts checks.
- Provide support to the attorneys with timesheets and regular billing matters.
- Requests reimbursement for attorneys through ChromeRiver .
- Maintain a good working rapport with clients and court personnel which requires discretion and judgment.
- Regular and predictable attendance is an essential function of the job. Flexibility to work OT as driven by Litigation practice needs.
- Minimum 5 years of experience in litigation support within a law firm environment.
- Strong knowledge of legal terminology, court procedures, and document formatting.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, PDF) and familiarity with legal support tools.
- Ability to manage multiple priorities, work under pressure, and adapt to evolving legal needs.
- Exceptional written and verbal communication skills, including grammar, proofreading, and transcription.
- Keen attention to detail, organization, and the ability to maintain confidentiality in all matters.
- A high school diploma is required; an associate degree, business school certification, or related legal education is preferred.
