JOB TITLE:                       LEGAL ASSISTANT

LOCATION:                       BANGOR       

REPORTS TO:                   DIRECTOR, CORPORATE COUNSEL & COMPLIANCE OFFICER  

POSITION STATUS:         NON-EXEMPT, NON-BARGAINING UNIT

Position Overview:

The Legal Assistant provides comprehensive support to the Legal & Regulatory Team, including paralegals, attorneys, and leadership, on a wide range of administrative and ad hoc projects and tasks. This role is central to the smooth operation of the Legal and Regulatory Department.

The successful candidate will be highly organized, proactive, adaptable, and capable of multi-tasking for multiple people and/or initiatives simultaneously. They will proactively contribute to the group and the Company’s success by actively seeking to improve working processes, anticipating needs, and responding effectively. 

Excellent written and oral communication skills, sound judgment, and a positive, can-do attitude are essential, as the position requires someone who can support, manage, and facilitate the needs of a busy team of professionals in their day-to-day workload.

This position reports directly to the Director, Corporate Counsel & Compliance Officer, and provides support to members of the Legal and Regulatory Department.

Responsibilities Include:

  • Maintain regulatory dashboards, including regular monitoring of notices and attendance in meetings to review and make updates
  • Retrieve and calendar regulatory and court schedules
  • Process invoices, accruals, expenses, and credit card statements; assist with travel plan arrangement
  • Assist with creation of templates, responses, and e-filing responses for regulatory dockets
  • Maintain and organize electronic files, as well as some paper files
  • Meeting preparation and support to include meeting room set up, technology testing and setup, printed binder preparation as needed, and occasionally ordering meals 
  • Upload and organize work appropriately within the document management system and/or the administrative agency’s or court’s case management systems
  • Keep Legal Team informed of upcoming commitments, responsibilities, and schedule changes, following up appropriately and anticipating needs 
  • Perform general office duties, including mailing, data entry, office and kitchen supply inventory and orders, and maintenance of other general office needs, including some building and kitchen tasks, as requested 

Required Skills:

  • Competency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, etc.) or its successor
  • Demonstrated verbal and written communication skills
  • Demonstrated ability to manage multiple and competing priorities
  • Ability to receive, review, and understand scheduling documentation from administrative agencies, courts, and other tribunals and create an accessible and responsive schedule for multiple attorneys
  • Ability to manage multiple calendars within Outlook, process scheduling requests, schedule meetings, appointments, and travel
  • Ability to assist with the billing process, including but not limited to tracking invoices, administrative expenses, and expense reimbursement
  • Ability to assist with attorney licensing requirements
  • High level of attention to detail on an ongoing basis
  • Ability to manage Excel, SharePoint, and other databases to ensure they remain up to date
  • Ability to meet shifting deadlines

Physical Requirements/Environment:

  • Position is primarily sedentary, with some walking, driving, and standing required
  • Extra hours required on an as-needed basis
  • Extensive computer work (6-8 hours daily)
  • Lift/push/pull at least 25 lbs. in the form of boxes of files or other materials
  • Interact with others regularly in a collegial manner 

Required Qualifications:

  • AA/AS required; BA/BS preferred
  • Three (3) or more years of relevant work experience as a legal, administrative or executive assistant required
  • Flexibility to work on or off site
  • Flexibility to work overtime as needed based on the demands of the business 
  • Excellent written and verbal communication skills
  • Superior people/interpersonal skills
  • Ambitious, enthusiastic, positive can-do attitude and polished professional demeanor; a healthy sense of humor will be considered a plus
  • Technologically savvy; highly proficient, expert knowledge of Microsoft Office 365 or its successor
  • Keen ability to communicate and collaborate effectively with employees at all levels of the organization 
  • Work discretely with confidential information
  • Must be proactive, accountable, and have excellent judgment
  • Detail-oriented and able to work in a fast-paced environment while making very few errors
  • Must be adaptable to change and remain calm under pressure
  • Must have a valid U.S. driver’s license

Work Hours:


Usual work hours are 8:00 A.M. to 5:00 P.M., Monday through Friday. Hybrid work schedule at the discretion of the Director, Corporate Counsel and Compliance Officer, following six to eight months’ tenure.


Rate of Pay:

Salary is commensurate with experience and qualifications.
