Paralegal (Full-Time)

Full Time

CHANTILLY, VA, US

Salary Range:$50,000.00 To 60,000.00 Annually

SUMMARY

Under the direction of the Director of Accounting, the Accounts Payable/Payroll Specialist is responsible for processing invoices and reimbursements received for payment in an accurate, efficient and timely manner; as well as, processing non-exempt and exempt payroll as needed. The position calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside vendors.

DUTIES, TASKS AND RESPONSIBILITIES:

· Dual responsibility in preparation of payments for invoices and expenses received, as well as processing payroll:

Accounts Payable (AP). Tasks may include:

  • Prepare vouchers for payment of invoices including general ledger coding

  • Verify the descriptions, spelling and presentation of expense data entered into the AP system and verify they conform to Firm or client standards

  • Use Certify to reconcile credit card statements, including tracking down of missing receipts, adjusting vouchers, and entering details into accounting system

  • Use Certify to process expense reports for reimbursement and enter details into accounting system

  • Prepare payroll deduction authorization forms for personal expenses on firm issued credit cards

  • Request creation of new vendors and obtain W9; update vendor records as needed

  • Prepare annual 1099 reporting

  • Cut live checks for approved vouchers and process “dummy” checks for ACH/wire payments

  • Track monthly invoices and ensure timely receipt to align with budget plans

Payroll tasks may include:

  • Maintain payroll information by collecting, calculating, and entering data

  • Ensure integrity of payroll records regarding self-service changes to deductions, direct deposits, and addresses; as well as profile changes for titles and department codes

  • Determine if address changes require changes to state and local taxes

  • Prepare reports by compiling summaries of earnings, taxes, deductions, paid time off, floating holidays, disability, and nontaxable wages

  • Analyze ADP invoicing for tax adjustments

  • Resolve payroll discrepancies by collecting and analyzing information

  • Maintain payroll operations by following policies and procedures; reporting needed changes

  • Maintain employee confidence and protects payroll operations by keeping information confidential

  • Identify state and local tax registration requirements and updates ADP and employee records as necessary

  • Ensure employees local tax payments are processed accurately and submitted timely

Administrative Duties

  • Perform administrative duties as necessary for the Support Service Group. These duties may include:

  • Assist in the development and implementation of procedures and policies related to the AP processes as necessary

  • Adherence to business standards and procedures

  • Perform review and analysis of special projects as assigned keeping management properly informed

  • Review and summarize miscellaneous business and operational reports and documents; prepare background documents and communications as necessary

  • Other related duties as assigned.

Preferred Skills

  • Prior experience with Orion Law software or other law firm time & billing software

  • Prior experience with ADP Workforce Now

  • Working knowledge of multi-state employer requirements

  • Basic knowledge of accounting principles and general ledge

QUALIFICATIONS:

· Bachelor’s degree; or relevant Military or work Experience will be considered in lieu of degree
