- Provide administrative support to all assigned timekeepers in the Real Estate, Estate Planning and Business Services practice groups
- Provide back up support to other administrative assistants when time allows
- Prepare, transcribe and proofread various corporate documents and business correspondence in a timely, appropriate manner
- Revise and prepare draft estate planning documents
- Ensure all documents leaving office, whether electronically or via mail, are in good order, free of typos and grammatical errors
- Blackline (compare) documents
- Scan/copy document
- If requested, enter daily time for attorneys
- Proofread, edit and finalize prebills and mail finalized invoices
- Prepare reimbursement requests (monthly expenses for attorneys including cell phone, K-1 and business development)
- Plan and schedule meetings and maintain timekeepers’ calendars as needed
- Open and close client files on a routine basis
- Communicate directly with clients in a professional manner
- Other duties as assigned
Qualifications
- 5+ years of legal administrative experience required, preferably in real estate, estate planning and business services
- Advanced computer skills: Microsoft Office 365 including Excel, Outlook and Word
- Knowledge of GRM Storage website or other offsite storage facility software
- Knowledge of InBiz website and ability to research corporate entities
- Knowledge of Probate Database (MS Access)
- Knowledge of ChromeRiver reimbursement software
- Knowledge of time entry (Aderant) and document management (IManage) programs
- Knowledge of Kofax Power PDF Advanced and Adobe Acrobat
- Knowledge of transcription software (Winscribe)
- Knowledge of comparison software (Change-Pro and Microsoft Track Changes)
