Position Description – Legal Team Coordinator
What you'll do:
- Provide administrative and operational support to the Legal Department, ensuring smooth day-to-day function and coordination across legal workflows.
- Serve as a key liaison between internal departments, outside counsel, and external vendors to facilitate timely communication and document exchange.
- Manage legal documentation, including uploading, organizing, and maintaining records in internal systems.
- Support legal matter management by processing invoices, preparing matters in invoice system, and tracking outside counsel spend.
- Assist with budget preparation, reporting, and reconciliation of legal expenses.
- Coordinate logistics for meetings, events, and travel, including room setup, catering, and itinerary planning.
- Prepare and process expense reports, AR invoices, and check requests for legal-related fees and payouts.
- Maintain calendars, schedules, and deadlines for legal team members and department initiatives.
- Oversee engagement and waiver letter tracking and distribution.
- Contribute to process improvement by identifying opportunities to streamline administrative tasks and enhance department efficiency.
- Prepare documents and other items for signature, notarization, and delivery.
What we're looking for:
- College degree and one to three years of related administrative experience and training or equivalent combination of education and experience.
- Strong organization skills, attention to detail, communication, and general administrative skills a must.
