Summary Objective
The purpose of this position is to provide essential administrative support by managing calls, greeting clients, and directing visitors. Record call details in Defender Data, notify attorneys, and provide contact information and guidance on applying for a Public Defender, ensuring efficient communication and service for clients and staff. This class works under general supervision, independently developing work methods and sequences.  

Examples of Duties

ESSENTIAL FUNCTIONS
The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.

  • Provides general office administrative support as directed.
  • Sorts and distributes mail, opens files, and enters information into Defender Data, including initial court dates.
  • Coordinates with Investigator to assign cases, prepares case files with required documents, and manages calendar entries for Magistrate Court attorneys.
  • Maintains and closes client files, organizes departmental records, ensures proper storage and retrieval and shreds obsolete documents as directed.
  • Updates client information, docket, and indictment details in Defender Data; distributes sentencing sheets, jail lists and other court documents. 
  • Supports Bond Court staff by opening files, updating information, and sending court documents and notifying clients of trial and court dates as required.
  • Manages fax communications, requisitions supplies, prepares competency evaluation packets and cover letters for MUSC and other agencies.
  • Operates a computer and standard office equipment with visual acuity and manual dexterity.
  • Proofreads documents with attention to detail.
  • Communicates effectively in person, by phone, and in writing.
  • Retrieves, assembles, and organizes files with digital dexterity.
  • Sits for extended periods and clearly articulate messages when speaking.
  • Performs related work as assigned.

Typical Qualifications

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School Graduation or GED equivalent.
  • One (1) year of administrative or clerical support or related experience.
  • Job Location(s): Allendale and Hampton 

Supplemental Information

All applicants tentatively selected for a position with Beaufort County Council will be required to submit to urinalysis to screen for the illegal use of drugs and to a background check prior to appointment. Employment is contingent upon clearing both the drug screening and background investigation. Beaufort County is an Equal Opportunity Employer.
