We are seeking a highly organized and detail-oriented experienced individual to support our patent prosecution and trademark practice. This hybrid role requires strong written and verbal communication skills and the ability to interact effectively with clients, attorneys, and firm staff at all levels.
Responsibilities
- Provide comprehensive administrative support to attorneys and paralegals in patent prosecution, trademark matters, and related departmental functions.
- Assist with the preparation and filing of U.S. patent application documents, including provisional, non-provisional, continuation, divisional, and foreign applications, along with all associated USPTO filings.
- Draft client communications and routine correspondence.
- Prepare formal documents for client signature, manage signature collection, and follow up as needed.
- Monitor and update docket entries, reconcile discrepancies, and communicate changes to docketing staff.
- Process invoices from foreign counsel and outside vendors for submission to the accounting department.
- Open new matters and maintain organized file indices.
- Provide support to the patent team as needed.
- Process incoming mail and FedEx per office procedures.
- Assist the office manager with local operational facility and other office-wide tasks.
- Work a hybrid schedule with Friday as a required in office day.
Qualifications
- Minimum of 2 years of experience in administrative support for patent prosecution and trademark matters.
- Highly skilled in USPTO electronic filing systems.
- Exceptional attention to detail and ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Outlook, Word, and Excel
- Ability to work a hybrid schedule (Friday-in office is required)
- Experience with document management systems, preferably iManage DeskSite.
- Ability to quickly learn and effectively use firm-specific software applications.
- Excellent reading comprehension, proofreading, and written communication skills.
- Professional demeanor and ability to collaborate in a team-oriented environment.
- High school diploma or equivalent required.
The salary range for this role is $60,000- $95,000 and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
