Job Description

RESIDENCE: Residence is a requirement for all positions. In the absence of clear and convincing evidence to the contrary, an applicant shall be deemed a non-resident if he/she cannot show ninety (90) days of continuous and uninterrupted residence in the City of Buffalo prior to filing application.

Distinguishing Features of the Class

An employee in this class supervises a number of Traffic Agency Clerks, Legal Secretary and other clerical personnel engaged in coordinating and managing Traffic Court; maintaining files, processing and recording legal documents, and performing specialized clerical work that requires thorough knowledge of Traffic Court proceedings and understanding of legal terminology. All work is performed according to standard procedures prescribed by state law, judicial determination and administrative directives. Supervision is exercised over clerical personnel assigned and includes guiding them in procedures and in problem solving. Work involves contact with attorneys, law enforcement agencies, judges, and the general public regarding court functions and procedures. Work is performed under the supervision Administrator of the Traffic Violations Agency.

Examples of work (Illustration Only)

  • Supervises and trains clerical personnel in the maintenance of traffic court files, courtroom correspondence, and other clerical duties;
  • Schedules Traffic Court proceedings;
  • Assists Judges in courtroom on court days
  • Reviews daily docket?s case history and ensures all pleadings are with the appropriate files;
  • Assists Judges in trial preparation by maintaining accurate and complete case files;
  • Accesses DMV database records to obtain background information for traffic prosecutors and judges;
  • Collects, marks, and maintains exhibits and other evidence, and returns upon completion of proceedings;
  • Oversees and train clerical personnel on notices of trials and other related court correspondence;
  • Supervises the maintenance of Traffic Court files;
  • Answers correspondence pertaining to the Traffic Court;
  • Sends notices of trial to all parties concerned;
  • Sends follow-up notices to persons failing to appear in court on scheduled dates;
  • Makes up copies of information for Traffic Prosecutor;
  • Answers correspondence pertaining to the Court;
  • Sends notices of trial to all parties concerned;
  • Maintains court files;
  • Analyzes legal documents and papers related to traffic violations to aid traffic prosecutors and judges in courtrooms;
  • May act as an assistant to the Administrator;
  • Does related work as required.

Minimum Qualifications

MINIMUM QUALIFICATIONS
Promotional
A)Continuous and permanent status as a Traffic Agency Clerk in the City of Buffalo Traffic Violations Department for at least two (2) years immediately preceding the date of this examination.
OR
B) Continuous and permanent status as a Traffic Agency Representative in the City of Buffalo Traffic Violations Department for at least one (1) year immediately preceding the date of this examination.

Additional Information

Good knowledge of business English, spelling and arithmetic; good knowledge of office terminology and procedures and common office appliances; 
Knowledge of legal terminology and court proceedings, primarily regarding traffic laws;
Ability to understand and carry out complex oral and written instructions; 
Ability to make decisions in accordance with state statutes relating to court procedures;
law enforcement agencies and the general public;
Good listening skills, social perceptiveness, integrity, tact, confidentiality, courtesy, neat appearance, sound judgment. 
Physical condition commensurate with the demands of the position.

Salary
