This is a complex and fast-paced legal assistant position. An employee in this position is responsible for performing a variety of administrative duties in assisting a Municipal Prosecutor with case preparation. Duties involve the performance of administrative and clerical tasks related to court proceedings in City Code criminal cases and special magistrate proceedings in City Code non-criminal cases; setting up and maintaining the attorneys’ calendars; screening calls and mail; scanning; data input; and preparing appropriate legal documents and correspondence.
- Illustrative Examples of Essential Duties
Types, edits, revises, and assists in the preparation and review of a variety of legal papers and correspondence, including pleadings, discovery, memoranda, legal opinions, subpoenas, briefs, and affidavits from rough draft of notes.
Issues subpoenas, e-files motions and orders with courts.
Assists attorneys with routine and detailed tasks related to criminal court and special master proceedings.
Schedules hearings, depositions, phone conferences, etc.
Establishes and maintains effective communication with attorney, court personnel, victims, witnesses, law enforcement personnel, and other parties relevant to assigned cases in both verbal and written form.
Prepares Municipal Ordinance cases for either a Central or Branch division.
Creates and maintains electronic case files for municipal prosecution cases.
Prepares arraignments, trials, reports, and motions for upcoming court hearing cases.
Processes daily calendars, discoveries, e-filing and incoming mail.
Orders photos, body worn cam videos, police reports and other supporting documentation from agencies.
Compiles and assembles various legal materials for attorney's use.
Receives and screens telephone calls and greets visitors; provides information and assistance; takes messages; makes appointments; refers to appropriate personnel.
Maintains legal records and related files; locates and retrieves files as needed.
Prepares monthly, quarterly, annual and special reports as assigned.
Provides back-up support to other Legal Assistants throughout the department.
Completes work requests for the Municipal Prosecutor.
Performs other related duties as assigned.
- Minimum Requirements
Bachelor's Degree from an accredited college or university in Public Administration, Business Administration, or in a course of study related to the occupational field.
Three (3) years experience relevant to the major duties/essential function of the position. The ideal candidate will have knowledge and experience with the criminal justice systems.
Other combinations of experience and education that meet the minimum requirements may be substituted.
Physical Requirements:
The work is typically performed in an office, while sitting at a desk or table while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact.
Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to, personal computer, calculator, copier, and fax machine.
