Title: Legal Assistant

Department: Prosecutor
Supervisor: Office Manager
PURPOSE OF POSITION:
Prepares legal documents and provides clerical support to the deputy prosecutors.
ESSENTIAL FUNCTIONS:
· Enters new charges daily for bond outs, warrants and summons, and coordinates new charges with the Clerk’s Office.
· Files new charges, motions, petitions, probation violations and other documents with the Clerk’s Office.
· Serves defense attorneys with all correspondence and legal motions.
· Runs slate reports daily to ensure each attorney has the appropriate files.
· Pulls files on upcoming cases, ensures that they are complete and delivers to the appropriate attorney.
· Maintains deputy prosecutors’ schedules, including times of depositions, leave and document deadlines.
· Prepares jury instructions, subpoenas and search warrants as needed.
· Prepares probation orders and delivers to courts along with pleas, prior to court date.
· Data entry into case management and odyssey system.
NON-ESSENTIAL FUNCTIONS:
· Stamps tickets and sends to the Clerk’s Office or court.
· Retrieves mail from Clerk’s Office and distributes appropriately.
· Notifies Victim’s Assistance when court dates change.
· Answers multiple phone lines and transfers calls to the appropriate person or department.
· Performs other duties as assigned.
EDUCATION AND QUALIFICIATION REQUIREMENTS:
· High school diploma or GED
· Basic computer skills
· Knowledge of legal documents and legal terminology
· Ability to effectively and tactfully deal with other people
· Ability to operate basic office equipment
· Excellent organizational skills
· Ability to communicate well, both verbally and in writing
· Basic knowledge of general office practices, such as filing, record keeping, phone etiquette, etc.
· Ability to maintain confidentiality
· Ability to use proper English grammar
· Attention to detail
· Ability to efficiently respond to multi-line telephone system
RESPONSIBILITY:
Incumbent works under established guidelines and procedures. Tasks are fairly routine, but require some selection of applicable methods and procedures. Errors in work usually result in significant loss of time and inconvenience to the department, courts and external agencies. Errors in processing releases and protective orders can also result in loss of liberty to individuals and/or the possibility of loss of life.
WORKING RELATIONSHIPS:
Working relationships are with supervisor, associates in same department, other county departments, law offices, law enforcement agencies and the general public for the purpose of communicating factual or procedural information.
WORKING CONDITIONS AND PHYSICAL DEMANDS:
Work is performed in a standard office environment.
