JOB SUMMARY:
Develops and maintains executive level reports, documents and other levels of communication and correspondence. Maintains electronic and hardcopy file program. May occasionally assist the Chief Executive and Chief Financial Officer as required. This is a temp to hire opportunity.
Essential Duties and Responsibilities:
- Assist in preparing and managing legal documents, including briefs, contracts, corporate articles, securities documents, buy-sell agreements, deeds, and trust instruments for company use.
- Support shareholder communications and handle SEC filing coordination.
- Perform administrative tasks: manage schedules, route correspondence, answer calls, and handle mail.
- Prepare affidavits and organize legal document files for easy retrieval.
- Track office-related expenses and prepare travel arrangements for executives.
- Assist with the preparation of closing statements and help facilitate the closing process for legal or financial transactions.
- Maintain and update digital and physical document control systems.
- Serve as the law librarian, overseeing online legal resource subscriptions and compliance updates.
- Ensure accurate filing, indexing, and archiving of all executive and legal documents.
- Maintain the legal department and corporate calendar for key dates, filings, and events.
- Take ownership of special projects assigned by the CEO or General Counsel.

Education and Experience:
- Paralegal degree preferred.
- 3–4 years of relevant experience in legal, administrative, or corporate settings.
- Equivalent combination of education and experience will be considered.
- Proficient in reading, analyzing, and interpreting legal documents, business publications, and regulations.
- Ability to draft formal documents, correspondence, and manuals.
- Spanish language fluency is a plus but not required.
- Strong problem-solving skills.
- Capable of interpreting varied instructions and applying them across diverse situations.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Access, Outlook).
