POSITION SUMMARY

The Hearings Coordinator will help the Chicago Housing Authority ("CHA") achieve its mission and goals in the CHA's Housing Choice Voucher Program by assisting the Supervising Hearing Officer. The Hearings Coordinator will work closely with the Supervising Hearing Officer, hearing officers and lawyers who represent the CHA to ensure that hearings are timely scheduled, that participants and other attendees are properly notified, that files are properly maintained and organized and that monthly reports and other reports that reflect the status of cases are prepared.

DUTIES AND RESPONSIBILITIES

  • Preparing notices of hearing dates and disseminating same to all parties and mailing hearing officer decisions to all parties.
  • Rescheduling hearings and maintaining calendar of hearings.
  • Preparing and distributing case files to the hearing officers in advance of hearings.
  • Collecting the administrative record for completed hearings and preparing them for offsite storage and electronically archiving them.
  • Preparing monthly reports and other reports the reflect the status of cases.
  • Entering data in CHA's systems (YARDI) (I-File) (Lawtrac) (Sharepoint).
  • Arranging and securing translators for hearings when necessary.
  • Respond to participant and other department inquiries regarding hearings.
  • Other duties as assigned.

QUALIFICATIONS

This position requires an Associate’s Degree, Paralegal or Bachelor's Degree, proficiency in Microsoft Office Suite and minimum of two years' experience as a project coordinator or other equivalent experience. Further requirements consist of strong organizational skills and strong written and oral communication skills.
