The Legal Operations Manager leverages data driven tools to establish and administer an efficient management system for the Legal Department to operate smoothly and effectively. The Legal Operations Manager streamlines litigation and matter management, billing and reporting and recommends and implements process improvements, technology innovation and adoption, and operational changes to increase Legal Department productivity.

The position is located in the Stamford, CT office or Waterbury, CT office and is under the general supervision of a SMD, Regulatory Attorney.

Responsibilities:

  • Supports record retention and document management systems. Efficiently maintains, manages, and archives digital and hardcopy files and databases.

  • Supports process to manage Legal Department Policies and Procedures.

  • Coordinates the Legal Risk Management Committee process, including organizing meetings and sending out packages.

  • Manages the legal billing/matter management system and serves as central point of contact and manager of the billing process, including tracking law firm rates and discounts, alternative and fixed priced billing and compliance with policies and billing guidelines.

  • Assists counsel with litigation matter management and reporting. Well-versed and competent in creating workspaces, acquiring, loading, and processing data from diverse company data sources.

  • Generates reporting from the legal billing/matter management system to track legal spend and assist with developing legal budgets for the lines of business.

  • Works with counsel to manage the legal hold system by identifying custodians, implementing litigation holds, coordinating with the technology department, and monitoring the status of legal holds.

  • Coordinates with the Legal Department’s First Line Control Officer to facilitate the build out and management of the Legal Department’s risk management function, including development and reporting of legal risk metrics and preparation of the Risk Control Self Assessments.

  • Assists with Corporate Insurance claims, management and litigation.

  • Reviews contracts for insurance requirements and assists with Certificate of Insurance management.

  • Conducts legal and factual research on various topics using computer databases such as Westlaw.

  • Prepares and files Section 16 Reports and manages quarter-end trading blackout list and notices.

  • Provides administrative support to the Legal Department, such as preparing Secretary Certificates and managing the Legal Department’s subscriptions.

  • Develops and builds out Legal Department presence on Company intranet site and manages Legal Department’s Teams site.

Educations, Skills & Experience:

  • Candidates with advanced degrees (Associates, Bachelor’s, and/or Master’s) preferred, yet a High School diploma or GED is required. Familiarity with legal departments and organizations preferred.

  • At least five years of experience in a financial services company or law firm with one (1) year of relevant experience related to legal operations.

  • Experience with legal billing/matter management systems strongly preferred.

  • Excellent project and change-management skills; highly organized and detail-oriented.

  • Self-motivated, proactive, must have the ability to work independently with minimal supervision.

  • Strong time-management skills and multi-tasking ability, while prioritizing conflicting demands.

  • Excellent problem-solving skills.

  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude.

  • Excellent interpersonal and communication skills; works well in team environments, and strong relationship-building skills.

  • Additional requirements include comprehensive knowledge of Microsoft Excel and Word and Adobe PDF.

  • Excellent computer skills. Confidence learning and working with applications and tools.

This is a Hybrid role with a 3 day a week in office requirement

The estimated salary range for this position is $70,000USD to $90,000USD. Actual salary may vary up or down depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position is eligible for incentive compensation.
