Responsibilities:

  • Proactively manage and maintain the attorney’s calendar, including scheduling court appearances, client meetings, deadlines, and internal obligations with minimal oversight.
  • Act as a key point of contact in the attorney’s workflow by anticipating needs, prioritizing tasks, and coordinating with internal and external stakeholders to ensure timely execution.
  • Accurately record and enter attorney billable time into the firm’s timekeeping system, ensuring adherence to firm policies and billing deadlines.
  • Organize, name, and save documents in Worldox in accordance with firm standards to ensure records are complete, easily accessible, and properly categorized.
  • Transcribe attorney dictation quickly and accurately, ensuring high attention to detail and timeliness in delivery.
  • Provide advanced administrative support to attorneys and paralegals, including drafting correspondence, preparing filings, managing case materials, and handling confidential information with discretion.
  • Uphold a high standard of accuracy, responsiveness, and follow-through in all tasks to support the fast-paced demands of a busy legal practice.
Requirements

Qualifications:

  • Minimum of 2 years of experience as a legal assistant, preferably in an insurance defense or litigation setting.
  • Proficiency in Worldox or similar document management systems. Familiarity with timekeeping software is a plus.
  • Experience with transcribing dictation, with a focus on accuracy and speed.
  • Exceptional ability to manage multiple tasks and deadlines simultaneously.
  • Strong focus on accuracy and thoroughness in all aspects of work.
  • Excellent verbal and written communication skills.
  • Ability to work effectively both independently and as part of a team.
  • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field preferred.

Physical Requirements:

  • Extended periods of desk work, including sitting and computer usage. 
  • Ability to lift up to 15 pounds when required.
