THE OPPORTUNITY
Weintraub Tobin is seeking a full-time (40 hours per week) Legal Administrative Assistant for our Sacramento office’s Trust & Estates Practice. This position will provide support to the legal secretaries and attorneys. This is an on-site position that will report directly to the Firm’s Operations Supervisor.
This opportunity is ideal for someone with experience in administrative support and client service, who is looking to build a long-term career as a Legal Assistant or Legal Secretary. The role offers the opportunity to learn from a seasoned team of skilled, knowledgeable, and highly regarded legal professionals. This position is part of Weintraub Tobin’s Legal Secretary Training and Development Program (LSTDP) – a structured training and mentorship experience designed to guide early-career administrative professionals to build the skills, confidence, and foundational knowledge necessary to support attorneys in a law firm setting.
RESPONSIBILITIES
- Provides general clerical and administrative duties as needed by paralegals, secretaries, and attorneys.
- Processes, scans, and saves all mail (i.e., correspondence, pleadings, discovery, client documents, bills, etc.) as instructed by the respective secretary/attorney.
- Handles copying and scanning of documents, case files and other materials as requested by attorney(s), secretaries, and paralegals.
- Documents indexing and electronic tracking of files.
- Maintains legal files, performs shelf maintenance, and assists with regular inventories.
- Files all documents accordingly to paperless policy including correspondence, pleadings, discovery, and invoices.
- Performs data entry including assisting attorneys with time entry.
- Responsible for dropping mail to designated carrier(s) in a timely fashion. Schedules pickups for overnight and ground delivery services. Answers questions regarding mail regulation, procedures and postage rates.
- Assists with posting and distributing daily mail.
- Assists with special and miscellaneous projects, as assigned.
SKILLS AND ABILITIES
- At least one year of administrative office work experience necessary; legal experience is preferred.
- Desire to grow a legal career as a legal secretary or assistant
- Strong customer service skills and client focus.
- High attention to detail and accuracy.
- Effective organizational skills and ability to use necessary computer applications, including the Microsoft Office Suite. Strong word processing skills.
- Strong listening and communication skills.
- Flexibility in dealing with multiple priorities and personalities.
- Positive, professional, and approachable attitude and demeanor.
- Ability to work individually and as part of a team.
- Exceptional attendance and reliability.
- Ability to lift and move up to 50 lbs.

Salary range: $50,000-$55,000
