JOB SUMMARY
Provides paralegal support to the activities of Public Fiduciary. Responsibilities include preparing pleadings for court, maintaining an accurate court calendar, updating legal files, conducting legal research, and drafting documents- Example of Duties

TYPICAL CLASSIFICATION ESSENTIAL DUTIES:- Provide legal assistance and case management functions for Public Fiduciary, prioritize assignments, and perform duties within scope of authority and training, compliance with County policies, Title 14, Rules of Court and the Arizona Code of Judicial Administration.
- Apply independent judgment based on knowledge of policies and procedures, gained through technical training and work experience, complete assigned special projects, and identify and resolve problems.
- Provide case management functions, prepare, track, and follow-up on sensitive and complex legal documents, and maintain and update legal information and technical records.
- Evaluate case files and research missing and incomplete information and manage collection and filing of necessary documents.
- Create and manage cases files, research files and computer databases, update files, computer records, and tracking systems, check local databases, and collect and distribute related information.
- Review case status with director and/or supervisory staff, compose and create memoranda and legal documents, prepare and edit confidential and sensitive legal documents, and maintain confidentiality.
- Prepare and process legal papers with courts, and process court papers according to court procedures and director instructions.
- Maintain hearing calendar and notify staff as needed.
- Receive and send information to and from other agencies and jurisdictions as approved by director.
- Provide information and assistance within the scope of designated authority.

- Maintain absolute confidentiality of work-related issues, customer records and restricted County information.
- Perform other related duties as required.
PUBLIC FIDUCIARY POSITION SPECIFICS- Prepare Legal Documents: Draft and prepare legal documents, including pleadings, motions, and subpoenas, for court proceedings.
- Manage Court Calendars: Keep track of court dates and deadlines, ensuring all important events are on the calendar and that the team is aware of them.
- Update Legal Files: Maintain and organize legal files, ensuring that all documents are up-to-date and properly filed.
- Conduct Legal Research: Research legal precedents, laws, and regulations to assist the office in case preparation and ensure pleadings are following the laws and rules of court.
- Assist with Hearing Preparation: Help staff prepare for hearings by organizing documentation and ensuring information is provided to the attorney representing the office.
- Client Communication: Communicate with staff, attorneys and court personnel to gather information, provide updates on case progress, and answer basic questions.
- File Court Documents: File legal documents with the court and ensure they are properly recorded.
- Administrative Support: Provide general administrative support to the office, including scheduling meetings, answering phone calls, and managing correspondence.
- Maintain confidentiality: Ensure the autonomy and rights of those we serve by adhering to County Policy and statutes related to the dissemination of information and public records requests.
- Other Duties: Other duties deemed necessary and appropriate by the director.
- Minimum Requirements
MINIMUM REQUIREMENTS TO PERFORM WORK:
- Associate's degree in Paralegal Studies or completion of a Paralegal Educational program approved by the American Bar Association.
- Two (2) years of attorney support experience.
- Must pass a thorough background investigation.
- Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
- Must have a Legal Document Preparer Certification, or willing to obtain certification within one year.
Preferred Qualifications:- Legal Document Preparer Certification
- Associate’s degree in paralegal studies or Certification through an accredited Paralegal Program.
- Possess a Valid Arizona Driver’s License.
- Supplemental Information
Knowledge, Skills and Abilities:
- Excellent writing, grammar, and interpersonal communication abilities. This position requires a wide range of verbal and written correspondence skills to effectively interact with individuals with significant mental and physical impairments, as well as attorneys, doctors, and judicial personnel.
- Familiarity with or the ability to quickly learn the provisions of A.R.S. Title 14, Title 36, ACJA 7-202, and applicable Rules of Civil and Probate Court.
- Capability to research, identify and incorporate relevant statutes and court rules into legal pleadings.
- Intermediate proficiency in Microsoft Word and Excel, with the ability to quickly learn case management software applications.
- Basic understanding of the laws and regulations governing the release of government information.
- Ability to work independently, prioritize multiple tasks, projects, and demands.
- Proficiency in creating accurate reports, technical documents, and legal correspondence with minimal supervision.
- Ability to interact tactfully and courteously with individuals seeking information.
- Capability to establish and maintain cooperative working relationships with co-workers, county agencies, and court staff.
- Ability to follow both oral and written instructions effectively.
PHYSICAL DEMANDS:
The work is sedentary and requires exerting up to 30 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. The work also requires the ability to sit or stand at a desk for extended periods of time with short, limited breaks if needed. The work also requires frequent typing, filing, and handling of legal documents, reading and reviewing legal documents, working on a computer screen, and conducting detailed research. Occasional requirement to work in inclement conditions conducting inventories or assisting with visits in homes that may not have adequate cooling, heating or water.
