Job Description

Job Summary:

The Legal Assistant I at the Matt Fendon Law Group provides administrative and legal support to attorneys, ensuring the smooth operation of daily legal activities. This entry-level position involves assisting with case management, document preparation, scheduling, and client communications. The Legal Assistant I plays a key role in helping the legal team deliver high-quality services to clients while maintaining a well-organized and efficient office environment.


Duties/Responsibilities:

  • Assist attorneys with preparing legal documents, including pleadings, motions, and correspondence.
  • Manage attorney calendars by scheduling appointments, hearings, and depositions.
  • Maintain and organize client files, ensuring that all documents are accurately filed and easily accessible.
  • Communicate with clients, courts, and opposing counsel to gather information and provide updates as directed by attorneys.
  • Prepare and format documents for court filing, ensuring compliance with court rules and deadlines.
  • Assist with case management tasks, including updating case status in the firm’s case management system.
  • Perform administrative tasks, such as answering phones, managing email correspondence, and ordering office supplies.
  • Conduct basic legal research as directed by attorneys.
  • Provide support during hearings and trials, including organizing exhibits and trial materials.
  • Perform other related duties as assigned.


Required Skills/Abilities:

  • MUST be bilingual in Spanish and English 
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal case management software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong multitasking skills and the ability to manage multiple tasks in a fast-paced environment.
  • Willingness to learn and take direction from attorneys and senior legal staff.


Education and Experience:

  • High school diploma or equivalent required; Associate’s degree or Paralegal Certificate preferred.
  • Minimum of 1 year of experience in a legal or administrative support role, preferably within a law firm environment.
  • Familiarity with legal terminology and court procedures is a plus.

 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 10 pounds at times.
  • May require occasional travel for errands related to legal proceedings or office needs.
