Location: Boston, MA
Sabre88 is seeking a Legal Administrative Assistant to join our team for a temporary assignment in Boston, Massachusetts. The individual would be required to provide services by implementing administrative skills, procedures, and policies, and monitoring administrative projects. This is for a temporary full-time assignment, Monday through Friday, 8:30 am – 5:00 pm.
Major Duties:
- Receive phone calls; direct all phone inquiries and messages to the appropriate person; maintain log of messages taken; greet visitors to the office
- Assure that conference room reservations are properly scheduled without conflicts.
- Responsible for the preparation of rooms and conference materials.
- Ensure all appropriate documentation is filed and easily accessible by attorneys in accordance with the office file plan. Search and retrieve files as needed.
- Receive incoming publications, catalog, shelve, check out and receive returns, and inventory library books and documents. Ensure that supervisors are notified of all subscriptions needing to be updated and law books, manuals and legal publications need to be ordered in accordance with the missions and functions of the office.
- Coordinate with attorneys for requirements for reproducing (copying, printing, and scanning) and assembling documents in the legal office or copy center.
- Assure that all general use office equipment (printers, scanners, facsimile machines, copiers) is appropriately supplied daily with paper, ink, and toner. Notify supervisors of necessary mechanical repairs and maintenance, as needed or periodically scheduled.
- Perform periodic inventory of general office supplies and recommend supplies to be purchased.
- Compose simple to complex correspondence, email, slides, and spreadsheets. Ensure memoranda and correspondence are accurate, in the proper format, with the proper spelling, and grammatically correct.
- Be responsible for collecting, sorting, and distributing correspondence to appropriate staff members daily. Collects, prepares for shipment, and dispatches outgoing mail daily. Including local courier service when necessary.
- Perform data entry for office budgets, office timesheets, leave, travel, training records, workload tracking, litigation case tracking, and other organizational records.
- Conduct periodic internet searches, periodically answering phones for other offices.
- Perform other administrative support duties as assigned.
Qualifications Required:
At a minimum, the proposed individual must be knowledgeable in the following software and Internet programs in order to perform the required duties:
- Microsoft Office Suite
- Microsoft Edge/Internet Explorer
- Google Suite
- Foxit Phantom/Adobe Acrobat DC
- PowerPoint
- Cisco Jabber
Additionally, the proposed individual must:
- Communicate effectively, orally and in writing;
- Be detail-oriented and accurate;
- Have the ability to handle multiple tasks and prioritize items.
- Have the ability to maintain professionalism and confidentiality.
