Job Description

Stearns Weaver Miller, a premier full-service commercial law firm serving clients throughout Florida, is seeking a motivated and adaptable full-time Legal Assistant to join our team in the Tallahassee office. This position offers the opportunity to work across multiple practice areas: Commercial Real Estate, Litigation/Administrative Law, and Intellectual Property. While experience in all these areas is not required, we are particularly looking for someone with a strong background in Commercial Real Estate and a genuine willingness to learn and grow in other practice areas, including Intellectual Property and Administrative Litigation.

 

Responsibilities
    • Managing legal documents
      • Creating and formatting documents
      • Editing and tracking (i.e. “redlining”) document
      • Managing internal and client deadlines
      • Assisting Real Estate and IP paralegals with various assignments
    • Preparing closing binders / post-closing
    • Working with title insurance companies to satisfy commitment requirements
    • Preparing and filing of legal documents with state, county, appellate, and federal courts, and in Florida administrative proceedings ((training provided)
    • Arranging for delivery of legal correspondence to clients, court and agency officials
    • Maintaining attorney calendars through Outlook (i.e. scheduling appointments, calendaring due dates, case deadlines, etc.)
    • Manage IP database (will train)
    • Making travel arrangements
    • Performing a variety of administrative functions such as processing new client/matter reports, preparing engagement letters, creating and filing expense reports, entering attorney time and answering phones
    • Organizing and maintaining paper and electronic files
Skills
    • Commercial Real Estate experience preferred, but not required.
    • Willingness to learn Intellectual Property and Administrative Litigation practices (training provided).Knowledge of federal, state and county court rules and e-filing procedures, a plus
    • Familiar with Florida government branches, a plus
    • Must have excellent proofreading, document formatting, and redlining skills
    • Must be punctual, meticulous, organized, proactive, reliable and self-motivated
    • Must have the ability to manage time, plan and prioritize various assignments/projects simultaneously
    • Must have excellent verbal and written communication skills
    • Working knowledge of Microsoft 2016 Outlook, Adobe, Excel and advance working knowledge of Word functions
    • Ability to work with a database
    • Ability to work in a face paced team environment while maintaining a professional demeanor
