This role will be based in our Denver office, on an in-office basis. This role reports to the Business Director.
Position Summary
This position provides a wide range of legal administrative, clerical, and document processing services to a team of attorneys in the Corporate, Real Estate, and Public Finance Departments as well as provides general support to the office.
The Legal Support Specialist will manage the attorneys’ calendars, documents, and word processing. The successful candidate will effectively arrange appointments, enter time, prepare expense reports, arrange travel, and facilitate all aspects of the professional and personal responsibilities of the assigned attorneys. This role also requires extensive coordination with clients. Must be flexible to work overtime as needed.
Key Responsibilities
Provides comprehensive administrative and legal support to attorneys in the corporate, real estate, and public finance practice areas
Drafts, edits, proofreads, and processes legal documents, including correspondence, various corporate documents such as Articles of Incorporation, Operating Agreements, Placement Memoranda, contracts, etc.
Oversees and coordinates service related to Secretary of State filings and annual reports
Prepares and organizes closing binders and coordinate document execution and distributes final closing binders via online portal system
Manages document workflows including filing, signature collection, and distribution
Prepares signature pages for execution and distributes same to all closing parties via electronic means (email, Docusign, Adobe E-Sign, etc.)
Compiles full executed transaction documents via PDF, including inserting executed signature pages as well as any related Exhibits/ Schedules.
Updates and maintains case information and legal files (both paper and electronic); organizes, scans and files documents in a designated order
Manages document deliveries and tracks final executed documentation
Reviews and coordinates invoices and billing, correspondence, and expense reimbursements
Opens new client matters and submits conflicts request for new matter openings
Prepares draft engagement letters
Maintains calendars in Outlook, arranges client meetings, prepares agendas, drafts engagement letters and audits responses, arranges travel, and collates documents
Receives and/or screens telephone calls for supported attorneys and conveys messages as necessary
Assists with overflow work and special projects
Provides backup support to Legal Support Specialist team
Maintains a database of standardized form letters and documents
Assists attorneys with monitoring CLE compliance period and reporting requirements
Assists with other activities as needed, and additional duties and responsibilities as assigned
Qualifications
Skills & Competencies
Established understanding of corporate, real estate, and public finance practice areas
Comprehension of a variety of legal court documents, including complaints, answers, rulings, judgments, affidavits, motions, reports, memos and correspondence
Strong ability to maintain high standards, use good judgment and seek out ways to contribute and anticipate needs
Strong attention to detail, organizational skills and ability to manage time effectively
Excellent interpersonal skills, communication skills and the ability to collaborate well in a team
Ability to work under pressure and meet strict guidelines
Education & Prior Experience
Bachelor’s Degree or equivalent is preferred
Minimum 5 – 7 years of experience as a legal secretary working a business law practice, with exposure to corporate, real estate, and public finance work
Technology
Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies
Exceptional computer skills with the ability to learn new software applications quickly
The expected pay range for this position is:
$35.08 - $46.63 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
