Salary
The New York litigation department for an elite international law firm is looking for an Administrative Assistant to join the team. This role will exclusively support 2 firm partners.
The ideal candidate will have a minimum of ten years’ experience providing day to day administrative support to attorneys in the litigation practice groups. This position requires you to be in the office four days a week and will be dependent based on business needs.
Responsibilities:
- Manage and maintain Attorney’s complex schedules and calendars.
- Maintain full ownership of administrative workflows, tracking task execution and deliverables across legal, billing, and client service functions.
- Maintain lead attorney inbox to ensure due dates are tracked, and important communication is tracked.
- Drives communication across departments including billing, business development, and management to ensure timely execution of responsibilities.
- Prepare client billing and input time entry.
- Serve as primary point of contact for clients in person and over the phone.
- Provide administrative support to attorneys, drafting correspondence, filing and preparation of engagement letters.
- Proofread client documents and other legal documents, as requested.
- Answer client questions related to the administrative side of the process.
- Maintain good communication with clients, attorneys and staff.
- Make, screen and route telephone calls, place conference calls and schedule appointments.
- Create and maintain legal files and indices.
- Set up and maintain files and records.
- Assist attorneys with client outreach and business development needs when requested.
- Assist with overflow work as requested.
- Perform other duties as assigned.
Qualifications:
- Bachelor’s degree preferred.
- Ten years of administrative experience at law firm required. Preferable at an AmLaw100 firm.
- Strong administrative, analytical, and researching skills.
- Excellent written and verbal communications skills, organizational skills, and a strong attention to detail.
- Proficiency in Microsoft Office Suite required
- Ability to manage various projects with limited supervision and work well under pressure.
- Ability to communicate with individuals of all levels within the firm and clients in a courteous and professional manner.
- Ability to work overtime as needed to meet business needs.
