Office of General Counsel
Job Summary: This is independent work providing administrative resources to the District’s legal team. The position will handle a variety of cases, with an emphasis on case management. The position assists with trial preparation and procedures; exercises sound judgment and discretion in handling confidential matters and executive support; and may also provide administrative support in the District rule development, revision and promulgation process. This position may be filled at the level of Legal Administrative Assistant or Senior Legal Administrative Assistant depending upon the selected candidate’s qualifications.
Job duties include:
- Procurement Support: Handles procurement functions for the Office of General Counsel to include: initiation of purchase orders, contracts, and amendments; processing invoices, p-card reconciliation; and purchasing of legal materials and office supplies.
- Litigation Support: prepares or provides proofing of complaints, pleadings and other related documents to be filed in judicial and administrative proceedings, including drafting pleadings of limited complexity per attorney’s instructions; assembles, tabs, and binds exhibits; obtaining signatures on all documents; electronically files pleadings with a variety of tribunals.
- Administrative Support: Drafts correspondence and memoranda per attorney’s instructions; makes travel arrangements and arranges travel itineraries for District-related business; searches for records in a variety of databases; maintains and updates the law library.
- Maintenance of Records: Maintains and dockets all pleadings, correspondence, memoranda and exhibits in all litigation and permit files of record; provides back-up assistance to the District Clerk and Deputy District Clerk for date-stamping incoming pleadings and rendering orders. Serves as an “owner” of the Office of General Counsel’s SharePoint library.
- Executive Support: assists the General Counsel in reviewing their calendar, organizing materials, and completing necessary preparations for appointments and meetings; develops materials for attorneys’ use in public speaking engagements; assists in client and project management by coordinating with staff, gathering information, and following up on project status.
- Other duties: Performs special assignments frequently of a highly confidential nature; assists with public records requests; maintains a Notary Public license and performs in this capacity to the benefit of the District.
Minimum Qualifications:
Legal Administrative Assistant requires an associate's degree with a legal specialization and two years progressively responsible legal administrative experience. Must also maintain a Notary Public license. Candidates without a current Florida Notary Public license will also be considered; however, it must be obtained within six months of hire.
The Sr. Legal Administrative Assistant requires an associate’s degree with a legal specialization and five years progressively responsible legal administrative experience; or a bachelor's degree in a related field and one year of legal administrative experience. Must also maintain a Notary Public license. Candidates without a current Florida Notary Public license will also be considered; however, it must be obtained within six months of hire.
Progressively responsible legal administrative assistant experience may substitute on a year-for-year basis for the required college education.
Additional qualifications for the success of this position include:
- Proficiency with Microsoft 365 applications, including Word, Teams, OneDrive, and SharePoint.
- Familiarity with court requirements for electronic filing of pleadings.
- Ability to quickly learn new software systems.
- Ability to exercise discretion in confidential matters.
- Strong verbal and written communication skills.
- Strong organizational skills.

Anticipated Starting Salary Range:
Legal Administrative Assistant:$40,060.80 - $50,065.60
Senior Legal Administrative Assistant:$45,864.00 - $57,324.80
Starting salary is based on qualifications and experience.
