The Legal Assistant performs a variety of secretarial, clerical, entry level paraprofessional, and administrative duties relative to the processing and/or disposition of allegations of unlawful discrimination against slate, local, and municipal governments, and the private sector under the States anti-discrimination laws.
Responsibilities of the Legal Assistant:
- Provides administrative and paraprofessional support for all attorneys in the agency's Legal Division. Organizes litigation files and deadlines in pending lawsuits. Receives and processes verbal and written correspondence to effectuate orderly and efficient operation of the legal division. Drafts letters, forms, correspondence, and legal documents where appropriate. Proofreads the Legal Division's work product for accuracy. Prepares subpoenas and maintains recordkeeping of same.
- Responds to Freedom of Information Act (FOIA) requests and, if appropriate, purges files in response to fulfilling the party's request. Prepares and monitors invoicing for FOIA requests.
- Monitors and records activities conducted within the agency's Legal Division. Maintains log demonstrating all categories or activities reviewed and completed by the Legal Division. Supports agency's mediation and settlement efforts by monitoring successful mediations and resolutions of public accommodations cases.
- Archives agency files in accordance with agency's current records retention schedules.
- Performs other related duties as required. Neatly, thoroughly, and accurately completes assigned tasks according to established standards and quality.
- Minimum and Additional Requirements
Minimum Requirements:
- A high school diploma and work experience in providing administrative support for an attorney(s), law office, or legal division.
- Familiarity with state court procedures, legal terminology, and the form of legal documents.
Applicants indicating college credit or degree(s) on the application will be required to bring a copy of college transcript to the interview. A copy of the transcript may also be uploaded as an attachment to the application, if required by the hiring department or if desired by the applicant. Please note that some areas of the Agency may require an official, certified copy of the transcript prior to hiring or within a specific timeframe required by that area, after hiring. Failure to produce an official, certified transcript may result in not being hired or termination.
Additional Requirements:
- Possibility for occasional overnight travel with the advance notice of dates.
- Ability to lift over five pounds on occasion.

- Paralegal certificate or associate degree in paralegal studies is preferred but not required.
