Job Description

Van Der Hout LLP is a nationally renowned, full-service immigration and nationality law firm located in San Francisco’s Union Square. The firm was founded in 1980, and it now has 37 staff (attorneys, paralegal and admin support). It represents clients in a wide range of immigration matters.

 

Van Der Hout LLP is looking for a detail-oriented and organized Administrative Assistant to join our team! In this role, you’ll be supporting a team of attorneys and paralegals with various administrative tasks in a fast-paced environment. Your fluency in Spanish will be key in helping us serve our diverse clientele, ensuring clear communication and efficient service across all levels of our practice.

 

This position is in-office and requires someone who is proactive, adaptable, and comfortable juggling multiple responsibilities. You will be a critical part of our legal team, helping streamline processes and maintain smooth day-to-day operations. Duties & Responsibilities: 

 

  • Providing administrative support to attorneys and paralegals, including managing schedules, coordinating meetings, and handling correspondence.
  • Assisting with data entry, calendaring deadlines, document preparation, intake and phone screening, court filings, opening cases, and maintaining organized filing systems. 
  • Communicating effectively with clients in both English and Spanish.
  • Supporting the team with other office-related duties as needed.

 

Qualifications:

  •  1-3 years of administrative experience preferred; law firm experience highly desired.
  • College degree preferred.
  • Fluency in Spanish (both written and spoken).
  • Work independently and as part of a team.
  • Strong organization and time-management skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment, while maintaining high attention to detail.
  • Excellent communication and interpersonal skills. 
    • Proficient or advanced knowledge of Microsoft Office Suite, particularly Excel and PowerPoint.
    • Proficient or advanced knowledge of Adobe Acrobat.
    • Knowledge of LawLogix and Centerbase a plus.
