Job Description

Legal Assistant (Regular, Full-Time)
General Counsel’s Office

Reporting to the General Counsel & Assistant Secretary, the Legal/Administrative Assistant provides clerical and administrative support for the Office of the General Counsel (OGC) and acts as the administrative manager for OGC with the following duties, to which other duties may be added as they arise. 

Responsibilities

  • Organizes and maintains all legal files including labeling and indexing.

  • Manages OGC’s vendor payments and submits expense reports for OGC staff.

  • Schedules OGC staff’s travel and processes travel reimbursements. 

  • Tracks department inventory and orders office supplies.

  • Handles the calendars of the General Counsel and Assistant General Counsel.

  • Coordinates facilities, security and audio visual needs and work orders for OGC staff.

  • Monitors litigation filings and calendars.

  • Performs discrete research assignments under the supervision of GC or AGC

  • Schedules calls and meetings for OGC staff with LACMA departments and/or non-LACMA parties.

  • Answers telephone calls to the OGC staff and prioritizes and escalates telephone calls, as needed. 

  • Writes and mails/faxes/emails correspondence on behalf of the OGC staff.

  • Interacts with multiple LACMA departments and greets visitors. 

  • Assists OGC staff in preparing, organizing and archiving various legal documents for the museum, including gathering information from clients, conducting legal research and summarizing findings, and acting as a liaison between OGC and third party vendors and clients, as requested by OGC staff. 

  • Performs general clerical functions (e.g., printing, checking mail, etc.) and coordinates and completes other projects as assigned, including obtaining signatures from LACMA departments and non-LACMA parties on legal documents, incorporating OGC staff’s hand-written comments into documents, and preparing execution versions of legal documents.

  • Maintains a record of OGC staff’s MCLE compliance, reminds OGC staff of applicable MCLE compliance deadlines and submits annual forms and payments to state bar organization(s) for OGC staff’s state bar license renewals. 

  • Completes other duties, as assigned.

  • The expected hourly for this Los Angeles, CA based position is $27.00 - $31.00, subject to change, and the position is eligible for LACMA’s comprehensive benefits package, including pension plan.

Qualifications

  • Bachelor’s Degree or higher.

  • Paralegal certificate from an ABA approved program preferred.

  • Minimum 3 years experience in a law firm or legal office, and/or minimum 4 years prior administrative experience in a corporate office.  

Salary
  • $31 - $27/hour
