The Utah State Tax Commission is looking for a skilled and motivated individual to fill a Legal Secretary position. Join our dynamic team as a Legal Secretary, where you will play a crucial role in supporting our legal operations. In this position, you will be the first point of contact for a variety of stakeholders including Commissioners, taxpayers, attorneys, and staff. Your responsibilities will extend beyond traditional secretarial duties, involving active coordination of hearing room activities, meticulous document preparation for court proceedings, and ensuring smooth day-to-day operations. This role requires ahighly organized individual with excellent communication skills and the ability to handle confidential information with discretion. You will be responsible for managing calendars, drafting correspondence, and providing essential administrative support. Principal Duties
The Legal Secretary will greet Commissioners, taxpayers, attorneys, Utah State Tax Commission staff, and other appeal participants. Additional duties could include:
  • Re-assign rooms for hearings as needed.
  • Oversee and coordinate all hearing room activities.
  • Formatting and editing written material for accuracy and arrangement of material.
  • Prepare records for Utah Supreme and District Courts. 
  • Preparation of legal documents.
  • Maintaining calendars, schedules, and coordinating appointments.
  • Writing or drafting correspondence, documents and/or other written materials.
  • Receiving calls and/or greeting visitors, taking and relaying messages, and responding to requests for information.
  • Providing information or directing caller/visitor to appropriate individuals and rooms.
  • Sorting, labeling, filing and retrieving documents or other materials.
  • Typing and preparing reports or other written materials from source documents, transcription, dictation etc.
  • Collecting data and reviewing research materials, determining accuracy and validity of sources and appropriateness for use.

  • proficient with computer applications such as Word, Excel, PowerPoint and Google platform applications
Salary
Non-state employees are hired for this position is between $16.42 to $18.00 an hour. We are unable to negotiate hourly wage amounts. DHRM rules apply for promotions/transfers for current state employees.

Remote/Flex
  • This position is eligible for a flex schedule. The schedule is 2 days in the office and 3 days work from home.
  • Please note, a position's eligibility for remote work is established by agency management and is subject to change at their discretion at any time and for any reason.
  • If working at a location other than in a state office, this position requires the employee to provide internet service that is of sufficient speed to support all work-related applications, systems, and devices.

    • Employees hired on or after than 7/1/2011 and have never been in the URS retirement system have two options for retirement in the Tier II System. Employer contributions to your 401(k) are vested after four years.
    • Employees who have any service credit with an employer covered by the Utah Retirement Systems prior to 7/1/2011 are in Tier I Public Employees System.
    • Tier 2 Hybrid Retirement System. Employer contributes an amount equal to 10% of your salary between both plans (pension and 401(k))
    • Tier 2 Defined Contribution Plan. Employer contributes an amount equal to 10% of your salary to a 401(k) plan only.  
    • Employees who have any service credit with an employer covered by the Utah Retirement Systems prior to 7/1/2011 are in Tier I Public Employees System.
  • Paid Time Off:
    • Annual leave and sick leave are accrued at 4 hours per pay period each (4 hours annual, 4 hours sick).
    • Annual leave increases with years of service. 
    • There are also 12 paid holidays.

Working Conditions

  • Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Physical Requirements
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
Other Requirements
  • Personal tax filings and vehicle registrations must be current and complete. 
  • A conditional offer of employment will be made pending a satisfactory completion of a background investigation. 
  • DHRM rules regarding promotions and transfers apply to current state of Utah employees.
