The ideal candidate will provide operational administrative support to Managing Attorney and Medical Director, respectively, including office administrative tasks such as conducting weekly inventory for supplies, etc., business development support, and other tasks as instructed. This includes:
- Providing general administrative support, such as photocopying, scanning, and filing documents, handle incoming and outgoing mail and packages,
- Providing marketing and business development support such as assisting with marketing newsletter, preparing marketing materials, interacting with current and prospective clients, and other tasks as directed,
- Preparing documents and emails for review, including letters, forms, and spreadsheets, etc.
- Proofreading documents and emails for accuracy
- Answering telephone
- Assisting with intake of new clients
- Prioritizing assignments and preparing sensitive and detailed correspondence, such as responses to requests for information, reporting developments on file to clients, from rough draft or dictation
- Input data into law firm software such as legal deadlines
- Providing billing support to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, input expenses into legal billing software, process invoices and expense reports, and research of disputes and discrepancies
- Coordinating monthly pre-bills and necessary revisions
- Managing and coordinating logistics for meetings or events
- Scheduling appointments, making travel and/or meeting arrangements, and maintaining business calendars as instructed; keeping timekeepers on schedule to meet Firm-wide and practice group specific deadlines
- Completing specific projects, such as document production and retention, online research, compliance with security protocols for sensitive client information, etc.
- Maintaining confidentiality and handling sensitive information with discretion
- Being proactive, resourceful, and adaptable to handle unexpected tasks and challenges
Education, Experience, And Skills Required:
- College degree or equivalent required
- 1-2+ years administrative experience working in a law firm or professional services organization (preferred)
- Expert proficiency with the MS Office (Word, Excel, PowerPoint and Outlook) applications. This includes ability to proof and edit (using edit marks) non-routine correspondence, reports and tables for typographical (spelling and grammar) errors, and sentence structure
- Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
- Strong interpersonal skills and the ability to build relationships with staff and clients
- Must demonstrate professionalism, confidentiality, organizational skills, and the ability to be proactive.

Compensation:
$20 -$26 / hr - commensurate with experience
