Our Intake Specialist is a rockstar communicator and the first point of contact for potential clients. You’ll make every caller feel seen, heard, and supported while efficiently collecting case information and preparing them for their next step with our legal team.
You’ll support our mission by:
• Building trust and rapport with prospective clients
• Triaging client needs and scheduling with our attorneys
• Entering and managing accurate information in our CRM
• Making a difference in the lives of people who truly need it
• Handle inbound calls, emails, and live chats from potential clients
• Screen cases to determine if they meet our firm’s criteria
• Use intake scripts to gather essential client and case information
• Identify client goals and offer solutions
• Schedule with our legal team
• Prepare and send new client paperwork
• Communicate clearly, empathetically, and consistently
• Keep clients informed and engaged throughout the intake process
• Accurately input lead and client data into CRM
• Maintain documentation and prepare files for Attorneys and Paralegal
• Generate monthly reports for the Director of Operations
• Manage follow-ups with unclosed leads
• Collaborate closely with the Legal Team for seamless onboarding
• Report weekly and monthly on trends, audience feedback, and suggested pivots in marketing or services
• Propose new client-facing materials (checklists, handouts, guides)
• Help develop and refine intake-related systems and SOPs
•Assist with improving operational procedures and documentation

• Have previous experience in client intake, sales, legal, or customer service (strongly preferred)

We’re looking for a confident, compassionate, and detail-oriented professional who brings both heart and hustle to the role. The ideal Intake Specialist will possess a combination of technical proficiency, interpersonal finesse, and an unwavering commitment to excellence.

• Strong attention to detail, including grammar, spelling, and accurate data entry
• Proven track record (5+ years preferred) in customer service, client intake, or client relations
• Confident, adaptable, and proactive problem-solving
• Strong typing, IT, and computer skills, including Mac Systems and Applications, Microsoft Office Suite, CRM systems, and marketing tools
• Ability to work independently and collaboratively
• A passion for helping others and making a positive impact
• Understanding of business principles and firm-wide goals
• Confidence and professionalism on the phone and in writing
• Clear communication and people skills
• Flexibility and adaptability
• Strong teamwork and collaboration abilities
• A desire to grow in a mission-driven legal team
• High School Diploma or equivalent (required)
• Bachelor’s Degree in Marketing, Business, Communications, or a related field (preferred)
$18/hr plus monthly incentive compensation plan based on performance metrics

Hiring Process Overview
Our hiring process is designed to ensure a strong mutual fit and to give each candidate the opportunity to showcase their skills, values, and readiness to join our high-performing team. The process will consist of the following three phases:
Phase 1: Initial Screening and Interview
Candidates selected for the first round will be invited to a Zoom meeting. During this session, we will review your submitted resume and Word document, and conduct an initial interview to better understand your experience, communication style, and alignment with our firm’s mission.
Phase 2: Skills-Based Assignment
Applicants who advance will be given an additional assignment designed to evaluate key competencies required for the Intake Specialist role. This will be submitted remotely within a designated timeframe.
Phase 3: In-Person Interview
Finalists will be invited for an in-person interview at our Marietta office. This meeting will be with the Director of Operations and the Owner of the Firm, Attorney Kim Frye.
Note: Being bilingual is not required, but it is a significant plus and will be highly valued.
