We are working with a national law firm that would like to add an exceptional Legal Assistant to the Tampa office team.
With a reputation for skilled legal work, exceptional client service, and impeccable integrity, this business law firm seeks to build its team by adding a legal assistant who will support the delivery of quality legal services to its clients by providing administrative and secretarial assistance to attorneys. Responsibilities range from complex and specialized secretarial tasks to administrative activities while working collaboratively with others in the local office and personnel in other firm locations. This position generally supports a group of attorneys as a primary assignment and provides back-up assistance to others as needed.
ESSENTIAL FUNCTIONS
- Provide excellent service to internal and external customers.
- Prepare routine correspondence, memoranda, and legal documents. including but not limited to pleadings notebooks, indexes, and exhibits.
- Accurately file court documents electronically and in document form, and be able to determine and follow any local or judge-specific requirements related to same.
- Anticipates the needs of assigned attorneys in order to promote timekeeper efficiencies (i.e., drafts correspondence, prepares shell pleading and discovery documents in advance).
- Accurately proofreads all documents to ensure accuracy and completeness prior to distribution or filing.
- Accurately prepare and submit client intake forms.
- Establish and maintain appropriate files and records.
- Maintain control files of matters in progress and follow up to ensure court-ordered actions are completed.
- Utilize standard naming and profiling conventions when scanning, emailing and saving documents to the document management system.
- Update contact records in Outlook and firm databases.
- Periodically request pre-bills and statements for billing purposes and prepares statements for signatures and send out.
- Routinely review and follow-up on client deadlines and calendar appointments.
- Coordinates arrangements for meetings (i.e., depositions, mediations, interviews, etc.) and attorney travel.
- Assist with completing and tracking CLE compliance, presentations, and training programs, and organizing all other non-billable activities.
- Answer the telephone, take messages, provide information, and receive information concerning matters related to the legal work handled by the assigned attorneys.
- Prepare and send faxes, documents, mail, certified mail, overnight mail, FedEx packages and interoffice mail.
- Must have the ability to master skills specific to the assigned practice group including such tasks as correspondence, spreadsheets, minutes, reports, and other documents.
- Provide assistance to legal and non-legal personnel as requested.
- When applicable, serve as a Notary Public.
- Other duties as assigned.
REQUIREMENTS
Education: High School Diploma required. Bachelor's degree preferred.
Experience: Prior experience as a legal assistant is required; Litigation experience is strongly preferred.
Knowledge, Skills, and Abilities:
- Demonstrated knowledge of legal terminology, legal documents, and legal processes in litigation.
- Advanced computer skills including knowledge of MS Word, Outlook, Excel, document management systems, e-Filing and database software; NetDocs experience strongly preferred.
- Ability to learn and adapt to new software programs.
- Excellent oral and written communication skills.
- Accuracy, attention to detail and good organizational skills.
- Ability to work effectively and proactively under pressure in a fast-paced environment.
- Ability to coordinate multiple tasks concurrently and to meet deadlines.
- Strong client service focus and ability to work effectively in a team environment.
- Demonstrated initiative, flexibility, resiliency and ability to adapt to change.
- Self-motivation and ability to work with minimal supervision.
- Various physical activities may be required.
