Job Summary:
The Administrative Assistant provides essential support to Taylor Law’s team by managing office operations, coordinating administrative tasks, and assisting with document preparation and case file organization. This role is ideal for individuals with at least three years of administrative experience who possess strong organizational, communication, and multitasking skills. The Administrative Assistant plays a key role in ensuring the smooth day-to-day functioning of the office and contributes to overall team efficiency.
Key Responsibilities:
Provide administrative support to attorneys, executives, and other firm staff.
Manage calendars, schedule meetings, coordinate appointments, and maintain firm-wide schedules.
Track critical deadlines, ensure accurate calendar entries, and follow up with all parties to support timely completion of tasks.
Answer and screen phone calls, emails, and other correspondence; respond to inquiries and communicate on behalf of leadership and attorneys as appropriate.
Coordinate travel arrangements, including itineraries, accommodations, and expense reporting.
Prepare, edit, proofread, and distribute memos, reports, presentations, correspondence, and legal documents with a high degree of accuracy.
Receive, review, process, and distribute incoming mail and correspondence.
Prepare and send outgoing mail and correspondence to ensure compliance with all deadlines.
Maintain, organize, and track physical and electronic client files, records, and documentation to ensure accuracy, completeness, and accessibility.
Assist with legal research and support attorneys in case and document preparation.
Support court filing processes and maintain filing records in accordance with firm procedures.
Coordinate projects, monitor progress, and ensure assignments and deadlines are met.
Assist with onboarding and training of administrative staff, as needed.
Identify and implement opportunities to improve administrative processes, workflows, and operational efficiency.
Handle confidential, privileged, and sensitive information with the utmost discretion and professionalism.
Perform other duties as assigned.
Requirements:
Minimum of 3 years of administrative assistant or related experience
Strong organizational and time management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Ability to multitask and prioritize in a fast-paced environment
Physical Requirements:
Must be able to sit for extended periods with good posture to avoid discomfort or strain
Must be able to operate standard office equipment such as computers, printers, scanners, and copiers with ease
Should have good eyesight or corrective lenses to review documents and data accurately
Must pay close attention to detail when handling documents and administrative tasks
Clear and effective communication skills, including speaking and listening, are essential
Benefits and Compensation:
Hourly pay: $28 – $34 (depending on experience)
