It’s an exciting time to be part of IFF, we are looking for our next Legal Administrative Assistant to become part of our industry-leading legal team. Based at IFF’s headquarters in New York, New York, the Legal Administrative Assistant will provide administrative support to the corporate legal team, including with respect to M&A, integration, finance, tax, securities and governance work performed by the corporate legal team.

 

As the Legal Administrative Assistant, your primary focus will be on the following matters:

 

Administrative Assistant:

  • Establishing and maintaining files (both printed and electronic)
  • Scheduling and calendaring meetings, appointments and travel arrangements.
  • Processing expense reports.
  • Answering Law Department telephones.
  • Assiting with legal billing.

 

Mergers and Acquisitions and Integration:

  • Assist with antitrust filings by gathering information and documents
  • Assist with the collection and organization of due diligence
  • Organize and coordinate integration activities and meetings
  • Prepare templates, prepare and/or revise documents/checklists and consolidate comments from legal team into master documents

 

Corporate Matters

  • Assist with obtaining signatures on corporate documents.
  • Notarizing legal documents.
  • Assist with maintenance of legal entities and contract management database.
  • Assist with maintenance of Board portal and minute books.

 

Job Requirements

Essential Business Experience and Technical Skills: 

  • BA/BS degree or equivalent practical experience.
  • At least 5 years relevant experience
  • Must be able to multitask in a fast-paced environment and ​​prioritize competing interests.
  • Must be a team player and able to roll up your sleeves and lend a hand where needed.
  • Strong organizational skills, project management skills, judgment, and drive. 
  • Excellent interpersonal and communication skills. 
  • Strong MS Outlook, Excel, Word, PPT, and Acrobat skills and willingness to learn new technologies or systems as needed.
  • Experience with SAP, Thomson Reuters Legal Tracker(E-billing system), Concord (contract management system), Diligent (board and subsidiary management system), Ariba (procurement system) a plus but not required. 
  • Be a notary
