This is a full-time position working 40 hours a week, Monday-Friday 8:00am - 5:00pm.
POSITION SUMMARY:
The Legal Coordinator provides administrative and operational support to the Legal Department of the credit union. This position is responsible for organizing legal documents, coordinating contract and regulatory filings, assisting with document review, and supporting legal and compliance activities. The Legal Coordinator works closely with internal departments, outside counsel, and regulators to ensure smooth, timely legal operations and proper document management in alignment with the credit union’s policies and regulatory standards.
ESSENTIAL FUNCTIONS:
- Coordinate the intake, tracking, and filing of legal documents, contracts, subpoenas, and regulatory correspondence.
- Maintain organized and confidential legal files, including contracts, litigation files, and compliance materials.
- Assist with tracking legal deadlines, contract renewals, and regulatory reporting requirements.
- Support the legal team in preparing, formatting, and proofreading legal correspondence and documents.
- Schedule meetings, hearings, and calls for the Legal Department and coordinate with internal and external parties.
- Process and track legal invoices, retainer agreements, and vendor billing in coordination with Accounting.
- Assist with preparing and distributing responses to legal inquiries, subpoenas, garnishments, or levies under supervision.
- Support project management for legal initiatives, including policy updates, audits, and compliance reviews.
- Assist with maintaining and updating legal document templates, policies, and internal procedures.
- Interface with internal stakeholders and external counsel to facilitate legal tasks and resolve inquiries.
QUALIFICATIONS
Education/Certification:
- 2+ years of experience in a legal, compliance, or administrative support role.
- Experience working in a legal department, law firm, or financial services environment preferred.
- Prior experience coordinating legal correspondence or managing confidential records is a plus.
Required Knowledge:
- Basic understanding of contract structure, legal terms, and vendor management practices.
- General knowledge of compliance obligations in financial institutions (e.g., NCUA, third-party due diligence).
- Familiarity with internal controls, risk assessment, and document retention practices.
Experience Required:
- 2+ years of experience in a legal, compliance, or administrative support role.
- Experience working in a legal department, law firm, or financial services environment preferred.
- Prior experience coordinating legal correspondence or managing confidential records is a plus.
HARD/TECHNICAL SKills/Abilities:
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); strong formatting and document review skills.
- Familiarity with legal or document management systems (e.g., SharePoint, CLM, or legal billing platforms).
- Strong organizational and time management skills; ability to track multiple priorities and deadlines.
- Attention to detail and high level of accuracy in document handling.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Comfort working in a fast-paced, deadline-driven environment with minimal supervision.
