SUMMARY
Under the direction of Department an attorneys, the Paralegal provides day-to-day support for the labor and employment team of the Advance Auto Parts legal department. The detail-oriented person filling this position will be adept at maneuvering through large, multi-functional and complex organizations and will demonstrate the ability to foster a positive working relationship with their peers, corporate attorneys, outside counsel and internal stakeholders. Strong project management, organizational, written and oral communication and Excel skills are required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Provide routine paralegal support to company attorneys involved in labor and employment matters, including related to state/federal EEO charges, litigation, state/federal regulator audits, severances/reductions in force, union avoidance matters, and internal investigations.
- Conduct necessary legal and/or business research and provide timely, clearly written and relevant information in response to legal inquiries.
- Assist in electronic discovery process by creating and distributing legal holds, tracking legal holds and custodians as they change positions or leave the company, assessing when holds can be lifted, in consultation with attorney supervisors, and communicating with hold recipients regarding status. Conduct email searches in support of legal matters and internal investigations.
- Serve as initial contact with business partners on employment litigation and administrative matters to gather documents and information necessary to prepare written responses. Summarize information gathered for inside and outside counsel, if any, and work with HR, IT and other internal stakeholders to follow up on any additional information needed. Assist outside counsel with scheduling interviews and depositions as necessary.
- Support internal investigations, e.g., as second chair interviewer/notetaker, document reviewer, etc., and support employee anonymous reporting line, as required. Support attorneys in other audits by state or federal regulators. Support legal case resolution, including mediation and settlement processes.
- Support internal upward reporting, e.g., quarter-end reporting to senior executive and/or Audit Committee of company’s Board of Directors.
- Draft form documents and templates, make recommendations regarding standardized and best practices to facilitate processes, procedures and policies.
- Track and manage legal matters and their related expenses in the legal billing system. Prepare reports regarding status, progress and costs of matters managed or handled. Recognize and report on trends and problem areas; recommend courses of action to promote efficiency. Partner with outside counsel and in-house attorneys on billing and legal fee accrual matters.
- Prepare, send and receive confidential correspondence, reports and other documents. Coordinate and arrange meetings, reserve conference rooms/ facilities and communicate meeting information. Answer incoming calls from internal and external sources and forward calls to appropriate parties if necessary. Assist in scheduling, arranging travel schedules and reservations and preparing expense reports for attorneys. Distribute mail and faxes throughout the day in a timely manner.
- Create and maintain case management files and systems. Maintain task list for supervisors and monitor deadlines as requested.
- Manage e-discovery processes, including conducting searches of electronic documents and data sources utilizing e-discovery tools in coordination with inside and outside counsel.

- Strong computer skills, including proficiency with Microsoft Office products (Outlook, Word, SharePoint, PowerPoint & Excel).

- Experience with employment, and/or corporate compliance matters.
- Experience with Workday and/or Legal Tracker (Serengeti) is a plus.
- High level of reasoning ability required. Ability to define problems, collect and analyze complex data and conflicting viewpoints, establish facts and draw valid conclusions, as well as make strategic decisions and persuasive arguments. Ability to deal with a variety of abstract and concrete variables.
- Ability to understand and analyze budget/P&L statements and manage fees/expenses on a proactive basis.
- Ability to exercise independent judgement using legal skills to analyze complex issues and recommending compliant solutions to business leaders and Department attorneys.
