Summary
The Group Coordinator will provide administrative and logistical support to the Firm’s General Counsel and support the Firm’s legal and investment teams. The position involves transactional work, on-going operational matters, and corporate governance. Candidates that are bright, motivated, detail oriented, and organized will be successful in this role.
This role requires 4 days in office at our San Francisco, CA location.

Responsibilities
- Maintain various legal records (e.g., entity management, trademark renewals, EINs, W-9s, internal committee approvals, etc.)
- Process legal invoices
- Process legal service of process and assist with tracking on-going legal matters
- Support legal and investment team throughout transactions, including coordinating entity formation and state registrations, managing the execution of legal documents and compiling fully executed documents
- Oversee investment and legal workstreams and processes, ensuring compliance with internal policies and procedures
- Manage electronic data and hard copy documents, as well as respond to internal and external requests for information
- Assist with developing and implementing new processes and procedures to improve the group’s efficiency, productivity, organization, and communication
- Provide other assistance to operations, legal and compliance teams as needed and take on additional responsibilities based on experience, abilities, and interests
- Provide administrative support to legal team, including:
- Scheduling meetings, reserving conference rooms and proactively communicating schedule changes
- Create meeting agendas
- Obtain wet and electronic signatures for legal documents
- Scan, file and save documents
- Compile receipts and file expense reports
- Provide coverage for peer admin team members as needed based on PTO or leaves
Qualifications
- 3-5 years of administrative experience and a 4-year college degree required; Notary certification preferred
- Must be organized, detail-oriented and able to maintain comprehensive and accurate records
- Strong communication skills and ability to effectively interact with individuals at all organizational levels, including executives and senior management
- Demonstrate ability to manage and prioritize multiple assignments under tight deadlines, adapt to new situations and drive projects through to completion in a timely and efficient manner
- Work well in a team environment, have a helpful attitude and be able to manage expectations from a variety of stakeholders
- Understanding of maintaining information in strict confidence
- Proficient with Microsoft Office 365 applications
The person in this position must be able to:
- Remain in a stationary position for 75% of the time working on a computer and attending virtual meetings.
- Occasionally move about the office to access file cabinets, office technology, and attend meetings etc.
