
Job Description
The Columbus office of BakerHostetler has a unique and exciting opportunity to support the Managing Partner. This role is fast-paced and requires attention to detail, legal support experience and a dynamic personality. The Executive Legal Secretary must be strategic, driven, highly organized, independent, proactive and possess excellent time management skills. The position requires the ability to think creatively and exercise a high degree of independent judgment when necessary.
Responsibilities:
- Calendar management – proactively manage calendars by scheduling meetings, appointments, and conference calls, with internal and external clients
- Legal support – provide support to a group of attorneys within the business group
- Travel arrangements – booking travel and accommodations and managing itineraries and expense reports
- Correspondence management – handling incoming emails, calls, and mail, prioritizing, and responding appropriately
- Meeting coordination – preparing meeting agendas, distributing materials, taking minutes, and assisting with coordination on assigned project management related action items
- Ticket administration – coordinating tickets and related accommodations to various events on behalf of the Managing Partner
- Confidentiality – handling sensitive information with the utmost discretion
- Other duties as may be assigned.
Requirements:
- High School diploma or general education degree (GED); and a minimum of 5 years of related executive level experience or equivalent.
- Demonstrated proficiency in Microsoft Office Suite including Word, Outlook, Teams, Excel, and PowerPoint. Proven aptitude to learn new software applications and integration of advanced technology to deliver quality results.
- Excellent written and verbal communication skills. Ability to communicate effectively with all levels of staff members, clients, attorneys and external constituents.
- Strong attention to detail. Ability to type/enter data and strong proofreading skills. Ability to write correspondence and routine messages.
- Ability to read and comprehend complex instructions, draft correspondence, and memos.
- Ability to read and interpret documents such as operating instructions, procedure manuals, general business periodicals, professional journals, technical procedures, governmental regulations, financial reports, or legal documents.
